GENERAL MANAGEMENT ADMINISTRATORThe general management administrator will provide support to the management team and will report directly to the general manager of Moog Ireland.The role involves but not limited to:>Managing communications and schedules, Includes Monthly and Quarterly report data collection consolidation and issuing of reports in a timely mannerDevelopment and management of a customer in/out notice board – liaising with key stakeholders ensuring latest information is maintained and displayed.Arranging travel for the Management team members including flights, transportation and hotel accommodation. Attending Management meetings for the purpose of notetaking/record keeping as requested – this can include on-site and off-site meetings.Preparing documents and issuing reports as required by the GM/Management team.All hands meeting / site meeting registry coordinate groups and room layouts – track attendance.Assisting Customer travel and Schedules, From time-to-time key stakeholders will visit the site, there is need to work with our colleagues and international travel departments ensuring necessary arrangements are made for transportation and accommodation booking requirements.On site badging and registration of these stakeholders will also need to be carried out. >Operational & Financial Support - Reconciliation of credit card statements and reviewing expense claims for the General Manager and any other Manager who travels frequentlyManagement of Meeting rooms - Prioritising management / customer meetings, this may involve the necessary rooms being made available on request.Event planning for key visitors including beverages and food organisation (generally through third parties).Ensure that meeting rooms have appropriate facilities (any IT issues will need to be worked through our IT department to ensure continuity).General - Supporting special projects as required (as directed by General Manager or Leadership team member)Be a central point of contact for the site Leadership team >Additional duties include: Prepare presentations, spreadsheets, and other documents.Assisting with report preparation and tracking information such as annual leave for the Leadership teamOrganisational Skills - A proven record in multitasking and maintaining an easily accessible record systemTime Management - Effective time management to prioritize and meet deadlines. Discretion - The ability to handle confidential information with professionalism and integrity. Adaptability - The capacity to adapt to various tasks and support the general manager in diverse situations. Communication - Excellent written and verbal communication skills are crucial for interacting with staff, customers, and the public. Experience - 3-5 years' experience in a similar role including the following dimensions: Computer Literacy - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint etc.) and other relevant software is essential for daily tasks. Data Entry & Analysis - The ability to accurately enter and analyse data is a key skill. Problem-Solving - A practical aptitude for solving workplace issues and providing recommendations is valuable. Clerical Skills - Strong foundational clerical skills are necessary for tasks like filing, drafting correspondence. Adaptability - The ability to work effectively both independently and as part of a team is important. Customer Service - Strong interpersonal skills are needed to represent the company and assist internal and external stakeholders. Qualifications - Education should have a minimum of Level 6.
