About the Job
We are seeking an experienced Transport Coordinator to join our Operations team on a 9-month maternity cover contract. In this role, you will be responsible for the safe, efficient, day-to-day coordination of FoodCloud’s transport operations. This includes managing our fleet of vehicles and supporting any third-party logistics activities to ensure food is collected and delivered smoothly to our community partners.
You will maintain our Fleet Management System (FMS), ensure all vehicles are roadworthy and compliant (tax, insurance, CVRT), schedule necessary maintenance, and act as the go-to person for transport queries across the organisation.
You will also coordinate training for staff in vehicle use and uphold FoodCloud’s health and safety standards in all transport activities.
This position is focused on hands‑on operational support and reports to the Head of Operations, working closely with colleagues in our Dublin hub and across our three FoodCloud Hubs. It’s a fantastic opportunity to contribute directly to FoodCloud’s mission by ensuring no good food goes to waste.
Key Duties
Fleet Compliance & Maintenance: Maintain oversight of FoodCloud’s vehicle fleet to ensure all vehicles are taxed, insured, and have valid CVRT (roadworthiness) certificates at all times. Schedule and coordinate regular servicing, repairs, and preventative maintenance for vehicles, working with approved garages or service providers as needed. Keep detailed records of all maintenance activities and ensure any vehicle issues are addressed promptly to guarantee safety and reliability.
Fleet Management System (FMS): Maintain and update our Fleet Management System with current information on vehicle status, service dates, tax/insurance renewals, and usage logs. Support and train Hub teams in fully utilizing the FMS for daily checks, scheduling, and reporting. Ensure data in the system is accurate and leveraged to keep transport operations running smoothly.
Health & Safety Compliance: Ensure all transport activities and processes comply with FoodCloud’s Health & Safety and Food Safety standards. Ensure each vehicle is equipped with required safety equipment and that this equipment is regularly inspected and maintained. Implement and monitor regular vehicle safety checks (daily/weekly checklists by drivers), ensure these checks are documented, and escalate any issues or incidents as appropriate. Support Hub Managers in conducting incident investigations and corrective actions if any transport-related accidents or issues occur, helping to improve safety practices continuously.
Transport Coordination & Support: Act as the key point of contact for transport-related queries and requests from internal teams. Liaise with Hub Managers and other colleagues to coordinate daily and weekly delivery/collection schedules, ensuring our fleet is used effectively to meet the needs of food redistribution. When ad-hoc or urgent deliveries/collections arise, work with the relevant team to plan and dispatch vehicles or arrange alternatives. Monitor vehicle utilisation and availability, and work with teams to prioritise transport tasks to maximise the amount of food rescued and delivered. If needed, coordinate with third‑party logistics providers for day-to-day transport support (such as arranging external couriers or transport partners for specific routes or overflow capacity), ensuring they meet our operational standards.
Training & Compliance Support: Coordinate and provide training for staff or volunteers in safe vehicle operation and transport procedures. Ensure all colleagues who drive FoodCloud vehicles (e.g. van drivers, hub staff) have completed any mandatory training or induction – this may include topics such as safe driving practices, vehicle equipment use (refrigeration units, tail-lifts, etc.), manual handling of goods, and FoodCloud’s transport policies. You may conduct in-person training sessions (especially for Dublin-based colleagues) and schedule external training where required (e.g. driver certification refreshers). Continuously promote a culture of safety and compliance among all teams involved in transport.
Administration & Documentation: Maintain up-to-date transport documentation and policies. This includes keeping all fleet documents (insurance, tax discs, CVRT papers) organised and accessible, and updating any internal transport policies or checklists as needed in collaboration with the Operations team. Ensure that relationships with existing service providers (maintenance garages, vehicle leasing companies, fuel card providers, etc.) are well managed and that service levels remain high. Provide regular updates or reports to the Head of Operations on transport status, issues, and needs.
Other Operational Duties: Perform other transport coordination tasks as required to support FoodCloud’s day-to-day operations. This may include assisting with transport-related procurement (e.g. arranging vehicle hire or replacement vehicles if one is off the road), and generally being hands‑on support for any transport matters that arise during the maternity cover period.
Qualifications and Skills
* Minimum of 3 years experience in Logistics and Transport coordination
* Experience in implementing and complying to global or national standards and regulations across Health & Safety and Emissions
* Strong interpersonal and communications skills and ability to work with a wide range of both internal and external stakeholders.
* Excellent cross functional planning skills
* Demonstrated ability to work in a fast paced and ever changing environment.
* IT literate and able to work with Excel, PowerPoint, Fleet Management Systems etc.
* Up to date driving licence with no endorsements.
* Interest in climate and sustainability, particularly with regards to Logistics and Transport
