Overview
As a key member of the School Transport Team, the Administrator – Business Support will assist in the efficient administration of the School Transport Scheme in the North East Region, providing operational, financial, and customer support to ensure smooth service delivery. This position is offered as a one-year secondment, providing an excellent opportunity to gain valuable experience within the School Transport function.
The successful candidate will report to the Local Manager School Transport Office (Dundalk), and work closely with the Regional School Transport Manager, the Central School Transport Office (Broadstone), and Service Supervisors.
This position is covering a 1 Year Secondment and is Monday to Friday, fully office based for six months. Hybrid and flexible working arrangements are available under Bus Éireann’s Flexible working policy.
Key Responsibilities
* Process mainstream school transport applications for the East Region accurately and efficiently.
* Manage customer and contractor queries through Salesforce, email, and telephone.
* Deliver a professional and responsive customer service experience in all interactions.
* Maintain and update contractor documentation in line with company procedures.
* Oversee Garda vetting, inspector checks, and verification of vehicle and driver details.
* Ensure data accuracy and quality across Flowforma, Trapeze, and related systems.
* Support reporting and data analysis to monitor progress and performance against KPIs.
* Process lodgements, refunds, unpaid cheques, and ticket reissues in a timely and accurate manner.
* Prepare statistical and financial information for reporting and SAP input.
* Assist in maintaining accurate and compliant financial and operational records.
* Support colleagues to ensure the smooth running of the School Transport Office (Dublin).
* Assist with staff training and knowledge sharing where required.
* Liaise effectively with internal teams, contractors, schools, parents, and other stakeholders.
* Promote and contribute to a Reduce, Reuse, Recycle culture within the office.
* Carry out other reasonable duties as required by Regional School Transport Manager.
Qualifications and Experience
* Minimum Education: Leaving Certificate.
* Experience: 0–1 year in an administrative or business support role.
* A positive, professional attitude and a willingness to learn and contribute within a team environment.
Key Skills and Knowledge
* Strong attention to detail and a high standard of written English.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office and confidence using systems such as Salesforce, Flowforma, Trapeze, and BI reporting tools.
* Strong organisational and problem-solving abilities, with a focus on data accuracy.
* Ability to work effectively both independently and as part of a team in a dynamic environment
