About The JobAccounting firm in Dublin 2 is seeking an experienced Office & Facilities Manager to oversee workplace operations and deliver office strategy at its Dublin office. This is a fully onsite position.The successful candidate will play a key role in ensuring the Dublin office runs efficiently, safely, and in line with organisational standards, while creating a positive and seamless workplace experience for employees, clients, and visitors.Key ResponsibilitiesManage all day-to-day office services, including reception, catering, cleaning, maintenance, and mail servicesEnsure a safe, secure, and compliant workplace, monitoring building systems (Electrical, plumbing, utilities) and coordinating maintenance or upgradesBuild strong relationships with vendors, service providers, and building management to ensure high-quality delivery and value for moneyCoordinate employee onboarding and offboarding, supporting employees with a smooth workplace transitionLead office-wide events, meetings, and initiatives that enhance employee engagementCollaborate with cross-functional teams, including HR to support office-related projectsCollaborate with IT providers to support onboarding and offboarding employees.Cover reception when needed, acting as the first point of contact for visitors and calls, ensuring a professional and welcoming environment.Maintain accurate filing systems, both physical and digital, ensuring documents and client records are organized, accessible, and compliant with data protection standards.Assist with ad hoc client requests, including preparing materials, coordinating logistics, and providing administrative support to ensure smooth delivery.Candidate RequirementsExtensive experience in office management, facilities management, or workplace services, ideally in an accounting/financial environmentProven experience managing workplace projects and delivering high-quality service to employees and visitorsExcellent organisational skills with the ability to manage multiple priorities and deadlinesStrong interpersonal and communication skills, capable of engaging with senior stakeholders and cross-functional teamsProactive, solution-focused, and able to work independently as well as part of a teamProfessional, approachable, and flexible, maintaining discretion and confidentiality at all timesAbility to communicate clearly in English (spoken and written) for the purposes of drafting safety notices, vendor contracts and client and internal communications.Capable of working on own initiativeProficient in Microsoft Office; comfortable with workplace or facilities management systemsSkillsOffice Admin Office Management Facilities Management
