Executive Assistant to the CEO Location: Grange Castle Dublin Reports To: CEO Permanent. The Role: We are working with our client to source this permanent role. This is a role to support the CEO. This position demands a high level of professionalism, discretion, and organisational skills. The ideal candidate will be proactive, detail-oriented, and able to handle a variety of tasks efficiently. Key Responsibilities Administrative Support: Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements. Coordinate and arrange travel and events for incoming visitors to the office. Screen and prioritise incoming communications, including emails, phone calls, and mail. Prepare and edit correspondence, reports, presentations, and other documents. Manage expenses and credit card statements monthly. Filing. Serve as the primary point of contact for vendor communications, including negotiating service terms, scheduling deliveries, and maintaining positive vendor relationships. Meeting Coordination: Organise and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Coordinate logistics for internal and external meetings, conferences, and events. Project Management: Assist with special projects and initiatives Conduct research, compile data, and prepare reports for review and presentation. Office Management: Coordinate with the landlords Facilities Department / Manager on any issues in office. Communication: Act as a liaison between the CEO and internal/external stakeholders. Maintain confidentiality and handle sensitive information with discretion. Be a key liaison between the CEO and senior management team, fostering collaboration and ensuring smooth communication. Monitor and organise the CEO's inbox, proactively addressing inquiries and responding when delegated. Serve as the liaison for internal communications, ensuring the CEOs messages are effectively conveyed to relevant stakeholders. Miscellaneous: Perform other duties as assigned to support the CEO and the organisation. The Person : Minimum of 5 years of experience as an Executive Assistant, preferably supporting senior executives. Experience in project management and event planning is a plus. Skills: Excellent verbal and written communication skills. Strong organisational and time-management abilities. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to multitask and prioritise effectively in a fast-paced environment. Project Management experience. High level of professionalism and discretion with highly confidential data. Strong problem-solving skills and attention to detail. Proactive, with the ability to anticipate needs and take initiative. Team player with a positive attitude and strong interpersonal skills. This is an Office-based role with occasional travel for meetings and events. May require working outside standard business hours to accommodate the CEOs schedule.
