Job Title: Parish Centre Manager

Reports to: Co-Parish Priest of St. Sylvester's Parish and indirectly to Parish Centre Management Committee.

Job Location: Malahide

JOB PURPOSE

The Centre Manager oversees the operations, programming, and overall management of the Centre that hosts diverse user groups. This role requires a dynamic, organised, and community-minded leader with a focus on ensuring excellent service delivery, stakeholder engagement, and resource management.

Due to the resignation of the present Manager of the Centre applications are invited for the appointment of a Parish Pastoral Centre Manager.

The Centre has been in operation for twelve years. It is designed to the highest standards to be a welcoming facility for Parish and Community activities in the Malahide area. It is a focus for participation in the life of the Malahide Parish and Community by individuals and groups and is operated to foster an inclusive community spirit. The building incorporates a number of meeting rooms, a large reception room and a large parish hall. There is a coffee shop area leading to an open courtyard designed in a cloistered style. It also incorporates a Parish Office together with smaller offices for administration and pastoral needs together with an underground car park and facilities rooms.

Responsibilities

1. Operations Management

· Ensure the smooth day-to-day running of the Centre, including scheduling, maintenance, and overseeing facility use

· Implement and maintain all health, safety, and safeguarding policies, in line with parish, diocesan, and local government guidelines

· Oversee the cleanliness, maintenance, and security of the building plus management of the maintenance of the church and its grounds, coordinating with maintenance staff and contractors as required.

· Manage booking and scheduling for all user groups, optimising space utilisation and resolving scheduling conflicts

2. Community Engagement & Support

· Act as the main point of contact for user groups, building strong relationships and providing assistance with any logistical, administrative, or other needs.

· Develop and maintain positive relationships with local community members, parish groups, and external organisations, promoting the Centre as a vital community resource.

· Support and coordinate with parish volunteers, including overseeing training and providing direction for community events.

· Support a diverse range of programmes and events that meet the needs of the pastoral, community and commercial activities.

· Support user groups in organising events and ensure alignment with the Centre's mission and values.

· Oversee promotional activities, ensuring the Centre's offerings are well-publicised to encourage community participation.

3. Staff Management

· Recruit, train, and manage a team of caretakers and volunteers to support the Centre's operations and programs.

· Develop staff schedules, assign responsibilities, and ensure adequate coverage for all events and activities.

· Conduct performance evaluations, provide feedback, and support professional development opportunities.

4. Financial Management

· Work with the Management Committee in the preparation and management of the Centre's budget, ensuring efficient use of funds and alignment with organisational goals.

· Monitor revenue, manage expenses, and prepare financial reports for the management committee and / or the co-parish priest, as required.

· Identify opportunities for additional funding, including grants, partnerships, and fundraising initiatives.

5. Marketing & Communications

· Develop and implement marketing strategies to increase community awareness and encourage utilisation of the Centre.

· Manage the Centre's communication channels, including the website, newsletters, and social media, keeping the community informed about events, schedules, and policies.

· Work closely with Parish communications to ensure consistent and clear messaging to the wider community.

6. Compliance, Risk Management & Record Keeping

· Ensure compliance with statutory regulations, health and safety requirements, organisational policies, data protection, and diocesan and parish guidelines.

· Develop and implement risk management procedures, including emergency response plans and safeguarding measures.

· Maintain accurate records of bookings, contracts, finances, and user group agreements.

· Regularly review and update policies and procedures, ensuring alignment with diocesan and parish guidelines.

7. Reporting & Strategic Planning

· Provide regular reports to the management committee and / or the co-parish priest on performance, finances, and other key metrics.

· Participate in strategic planning to guide the Centre's growth and development based on parish and community needs.

· Identify areas for improvement in service delivery, and implement strategies to enhance user experience and operational efficiency.

8. Additional Information

· Hours: Full time position with occasional evening and weekend hours based on programming requirements.

JOBHOLDER ENTRY REQUIREMENTS:

· Education & Experience: Degree in Community Development, Business Management, Non-profit Management, or a related field, or equivalent experience of 3-5 years in Supervisory Community Management, Business Management or Facilities Management

· Experience working with diverse community groups and fostering inclusive, respectful environments.

Key Skills & Behaviours:

· Interpersonal Skills: Strong communication, conflict resolution, and relationship-building skills to work effectively with diverse community groups and members.

· IT Skills: Proficiency in using management software, Microsoft Office, social media platforms, web management tools, customer relationship management tools and financial software packages.

· Financial Acumen: Experience managing budgets, financial reporting, and knowledge of funding opportunities in the non-profit or public sector.

· Organisational Skills: proven ability to manage multiple projects, priorities, and deadlines effectively.

· Leadership: Strong leadership skills with a demonstrated ability to motivate and manage a team.
