This is an exciting new role for an experienced professional services Workspace, Facilities, or Office Manager seeking a diverse, challenging, and regional role. You will work closely with senior management and the wider global team to lead the function for Ireland. The team’s primary objective is to create and maintain innovative, safe, sustainable, and agile workspace environments that promote well-being, service delivery, and client excellence, consistently to the highest standards.
Responsibilities
* Strategy: Review the strategy for the delivery of third-party services across the region to ensure service excellence & consistency, KPIs, and optimal cost/value.
* Innovation: Maintain a constant focus on innovation — work with the Senior Workplace Services Manager (based in the UK) to create new and better processes for working.
* Mentoring & Support: Provide the necessary support and training to the wider team, helping the team grow and develop.
* Finance: Collaborate with the central Business Management team on the annual budget / P&L management.
* Invoicing & ISO: Manage facilities’ invoicing; support ISO audits (14001, 27001, 45001).
What you will be doing
* Support a regional team delivering facilities and office management activities.
* Focus on service delivery, people, and contract management. In Dublin, manage and mentor a facilities team, fostering a collaborative and high-performance culture.
* In Belfast, work with and support the local Office Manager with the delivery of workplace services.
* Collaborate with Environment, Health & Safety teams on policy development.
* Provide on-the-ground support for office moves, refurbishments, and capital expenditure to project teams.
* Develop development plans to support the Belfast office and related plans.
* Lead agile working to benefit the firm, clients, and teams.
* Support contracts management and manage third-party suppliers.
* Direct line management of the support team, evaluate challenges, drive proactive decision-making, implement efficient working practices, and champion change.
* Adapt to change and drive continual process improvement in line with the wider business strategy.
Skills & Experience
* Experienced Workplace, Facilities, or Office Manager, preferably from an agile background or professional services; at least 3 years in an operational role with knowledge of Environment Health and Safety in the Ireland region.
* Experience in contract management, space planning, change management, landlord relations, operational budgeting, office relocations or refurbishments, with some project management skills.
* Ability to develop staff through delegation, encouraging contributions, regular reviews of objectives and skills; experience with supervision, mentoring, and appraisal.
* Experience in HR and performance management, attendance and disciplinary cases; strong analytical skills and focus on operational metrics.
The person
* Experienced in Workplace, Facilities, or Office Management, preferably from agile environments such as legal firms or professional services, with at least 3 years in an operational role and knowledge of Environment Health and Safety in Ireland.
* Experience in contract management, space planning, change management, landlord relations, operational budgeting, office relocations or refurbishments; project management skills preferred.
* Proven ability to develop staff and maintain strong operational metrics.
You’ll be in the office for 3 days per week and 2 days from home on a 35-hour working week. You’ll be based in outstanding offices in Dublin, part of a fun environment.
