We are seeking a highly organised and analytical Programme Support Officer to join our team. In this role, you will play a crucial part in ensuring the efficient operation and governance of a complex programme environment. Reporting directly to the Programme Director, you will provide high-level administrative, analytical, and governance support while working closely with Project Managers across various workstreams.Key Responsibilities:Programme Governance & ReportingMeeting Management: Coordinate, schedule, and attend key programme meetings, including Steering Committees and working groups. You will be responsible for capturing accurate minutes and promptly tracking all action items.Board Pack Preparation: Compile and quality-assure comprehensive Board Packs for executive meetings, ensuring all reports accurately reflect the programme's status.RAID Management: Maintain and facilitate regular reviews of the programme's Risks, Assumptions, Issues, and Dependencies (RAID) log, ensuring items are assigned and actively managed.Documentation Control: Establish and maintain an organised system for all programme documentation, ensuring strict version control and easy accessibility for the team.Analytical & Data SupportExpert Data Management: Use expert-level Excel skills to develop and manage programme spreadsheets for tracking budgets, resources, and performance metrics.Data Analysis: Conduct analysis on Key Performance Indicators (KPIs), resource utilisation, and financial burn rates to support executive decision-making.Reporting Support: Assist Project Managers in consolidating status reports to ensure consistency and adherence to reporting standards.Administrative & Communication SupportDirector Support: Provide proactive support to the Programme Director, including diary management, travel arrangements, and expense reporting.Programme Communication: Support the drafting and coordination of internal and external programme communications, presentations, and updates.Stakeholder Coordination: Facilitate information exchange and coordinate activities between different workstreams and external stakeholders.Required Skills and ExperienceExperience: Proven experience in a Programme Support role, ideally within a complex programme environment.Excel Skills: Mandatory advanced proficiency, including complex formulas (e.g., VLOOKUP, SUMIFS), pivot tables, data visualisation, and dashboard creation.Communication: Highly articulate with excellent verbal and written skills, capable of engaging confidently with senior stakeholders.Organisation: Exceptional attention to detail and strong prioritisation and time management skills.Governance Documentation: Demonstrated ability to produce accurate meeting minutes and high-quality documentation, such as Board Packs and RAID logs.Software Proficiency: Proficient in the Microsoft Office Suite, including Word, PowerPoint, and Outlook.
