Key Responsibilities:
* Reception Duties:
* Provide professional greeting and assistance to visitors and clients in a timely manner.
* Manage incoming calls, respond promptly, and direct as necessary.
* Maintain a tidy reception area and ensure efficient visitor sign-in process.
* Handle mail, deliveries, and other office-related tasks with accuracy.
* Administrative Support:
* Offer general administrative assistance to office staff and management.
* Update and maintain internal databases, records, and filing systems.
* Assist with document preparation, data entry, scanning, photocopying, and printing tasks.
* Schedule appointments and manage calendars as required.
* Order and maintain office supplies and stationery.
* Customer Service:
* Respond to customer inquiries via phone and email in a prompt and courteous manner.
* Liaise with internal departments to ensure customer needs are met efficiently.
* Support to Operations:
* Provide administrative support to logistics, sales, or service teams.
* Assist in processing purchase orders, invoices, or import/export documentation as needed.
* Coordinate communication between departments and ensure smooth flow of information.
Requirements
To be successful in this role, you will possess:
* Previous experience in a receptionist or administrative position.
* Excellent verbal and written communication skills.
* Strong organizational and time management skills.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
