Organisation Background & Sustainability

We are a Galway-based, family-owned and managed company providing waste collection services across the domestic, commercial, industrial, and building sectors. Our complete waste management service incorporates the collection and safe disposal of solid and liquid waste. The company employs over 80 team members and, due to continued investment and expansion, is now looking to recruit an experienced and professional Office Administrator to support our organisation. This position is a fixed-term maternity leave cover and is based onsite in our Belmullet office.

Reports to:

The Vermilion Office Administrator will report to the Business Service Manager and Business Operations Manager.

Responsibilities:

1. Daily maintenance of the waste manifest (Excel-based).
2. Prepare weekly & monthly work reports for Vermilion & WW.
3. Administration of all waste records, WTF's, and WW Dockets.
4. Efficient filing of all records for both WW & Vermilion.
5. Maintain EPA waste records, including ongoing maintenance of the paper-based filing system onsite at BBGT.
6. Manage access permits & journey management plans for Walsh Waste employees and contractors.
7. Check off third-party invoices for approval & issue purchase orders.
8. Obtain quotations from third-party suppliers & issue PO's.
9. Verify monthly invoices from third parties.
10. Attend monthly HSE management meetings with Vermilion.
11. Prepare schedules & obtain MSDS sheets (where required) for the monthly packaged hazardous waste collections.
12. Support the WW site team at the BBGT.
