Job Purpose To lead and manage all human resource functions within the hotel, ensuring the company attracts, retains, and develops top talent while maintaining compliance with employment law and fostering a positive workplace culture. Duties & Responsibilities Strategic HR Leadership Develop and implement HR strategies aligned with business goals Promote diversity, equity, and inclusion across the organization Support the company sustainability strategy Conduct Essential Employee Administration Co-ordinate essential employee file administration Inform employees of benefits, policies, health and safety rules & regulations, legal and hotel rules and regulations (through structured Induction Programme) Update management on hotel and employment legislation key HR activities on a weekly basis. Co-ordinate statutory leave in accordance with legislation. Prepare employee letters for Bank, Social Welfare, Tax Office, etc. Issue contracts and relevant documentation to all new employees. Responsible for recruitment administration and maintaining databases. Payroll Administration on a weekly basis. Liaise with H&S Officer re Safety Statement updates, amendments etc. Schedule meetings as required to include Huddles/ Town Halls etc. Support with administration as required. Recruitment & Selection Develop job descriptions, person specification and standard operating practices for each position in consultation with departmental managers. Develop and formalise recruitment practices and procedures designed to attract and retain quality candidates for vacancies Designed selection techniques tailored to the knowledge, skills and attitudes each position requires Work with Departmental Managers scheduling, preparing etc for interviews and train managers on the recruitment platform (ATS). Manage the application & renewal of work permits Conduct Reference checks as required Manage recruitment drives as required in conjunction with operations and HR team. Drive employability schemes to include Jobs Plus and other local employment schemes. Attend Career Fairs, IHF Road shows, Local Schools / colleges to support recruitment and to market the hotel in a positive manner. Co-ordinate presentations in local schools and develop links to ensure good relations for Transitions Year students, Placement students etc. Participate in the recruitment and selection, decision making process on key roles as required by the company. Coordination of Recruitment Club in hotel and drive success, provide feedback as required. Induction Carry out a formal Induction with all new employees. Monitoring the effective management of probationary reviews (1,3,6-month probationary reviews). Monthly Auditing of the 12-week Departmental Inductions programmes. Oversee compulsory training and check compliance to include manual handling, fire, HACCP training etc. Training & Development Together with the General Manager and departmental managers, identify training and development needs and plans aimed at increasing employee and guest satisfaction. Ensure all compulsory and hotel training plans are scheduled, conducted and documented. Conduct Induction training with employees new to the Company and to current employees changing position within the Hotel. Assist GM to Implement training plan on a weekly basis for all departments. Manage training budget (cost for First Aid etc). File all training sheets in line with GDPR regulations and company policies. Training of the department mangers in HR matters i.e. Disciplinary & Grievance, Absence Management etc. Provide advice and counsel to management on talent management, succession planning, reward management, coaching to enhance performance effectiveness. Work closely with the Group HR Director, to design and deliver learning and development initiatives and metrics to ensure our employees have the right skills and capabilities to maximise their performance now and in the future. Managing Employee Performance Along with GM, direct and co-ordinate performance appraisal completion, track personal development plans and Mobility/ career progression plans for every team member. Develop & innovate employee recognition programmes. Provide assistance and training to managers on performance appraisal techniques. Encourage open communication and partnership between management and employees (through quarterly meetings, Focus Groups etc) Employee Relations To promote a positive employee relations environment through advice and support to line managers on resolving ER issues. Managing advising on Investigations/ Disciplinary/ Grievances etc and ensuring best practice is adhered to. Responsible for the proactive management of employee relations, legal compliance and ensuring HR Policies meet legal requirements. Manage and implement the agreed discipline and grievance procedures. Provide support / conduct / take meetings at meetings as required. Provide all departmental managers with advice on all employee matters. Follow up and issue all administration on disciplinary and grievance meetings (File Notes/Written Warnings). Work with GM planning Hotel Huddles, Town Hall Meetings & Health & Wellness events. Manpower Planning Develop a strategic plan for the recruitment and retention of employees. Market the profile of the Hotel as a Quality Employer in line with employer branding best practice. Develop monthly staffing reports for Management meeting. Develop structures in the context of Hotel Budget. Ensure diverse and inclusive workplace practices i.e. recruitment, engagement etc. Administration & Project Work Ensure administration is managed effectively, including quality of communications, timeliness of correspondence and management of filing and archiving in line with company policies. Ensure full compliance with all relevant employment legislation through the assistance in the design, development and implementation of industry standard HR policies and procedures. Submit relevant proposals to Group HR Director that would be beneficial to the workforce in line with reward & recognition / compensation & benefits/ learning & development/ employee engagement and other relevant proposals. Drive strategic and operational HR and business projects as required by the company or as directed by the Group HR Director. Analyse information on the companys people reporting pillars to monitor progress and the impact of HR activities in the division. Facilitate and contribute to change management programmes including new programmes, reorganisations etc. Support the Hodson Bay Group Employee Engagement strategy to be an employer of choice within the hospitality sector. Key lead in achieving the IHF / QEP accreditation for hotel in conjunction with MD & Group HR Director. Support the Health & Wellness yearly plan for the hotel in conjunction with the Health & Wellness leads.
