Role OverviewThe Transaction and Contract Administrator will support the day-to-day management of contracts across the full lifecycle: from onboarding and drafting support to compliance checks, KYC, document control, insurance tracking and coordination with internal and external stakeholders. This role sits underneath the senior Contracts/Lease function and will ensure smooth execution of leasing and transactional activity, maintaining accuracy, documentation quality, and adherence to company processes.Key ResponsibilitiesContract & Lease AdministrationAssist in preparing, reviewing, and updating lease documentation, amendments, side letters, and checklists.Ensure agreements align with internal policies (Core Lease Provisions) before senior review.Maintain accurate contract files, trackers, expiries, and conditions precedent/conditions subsequent.KYC / ComplianceConduct initial KYC / KYS information gathering, verification and documentation for customers, suppliers, agents.Coordinate with finance for credit checks and follow-up items.Support compliance checks relating to insurance, onboarding requirements, and regulatory guidelines.Insurance CoordinationCollect and track customer insurance certificates.Liaise with insurance brokers and Asset Management to ensure requirements are met and reports are kept up to date.Monitor renewal dates and highlight gaps or non-compliance.Transaction Support (Acquisitions & Disposals)Support deal teams with document collation, signature packages, CP/CS tracking, and coordination with technical, legal and tax advisers.Monitor deadlines and execution steps; ensure documentation is properly saved, version-controlled and filed.Commercial Agents & Partner DocumentationMaintain an accurate record of agent agreements, expiry dates and compliance requirements.Prepare payment approval packs once conditions are satisfied.Track renewals and support updates to framework agreements.Corporate AdministrationMaintain PoA registers and follow up on renewals.Assist with preparing agendas, board packs and management meeting materials.Track filing and minute deadlines with external corporate service providers.Dispute SupportCoordinate documents, correspondence and evidence for dispute files.Track progress and ensure stakeholders are updated.Liaise with advisers for information requests.Experience & Skills2–3 years' experience in aircraft leasing, aviation finance, or contract administration.Strong organisational and document-control skills.Excellent attention to detail and accuracy.Ability to prioritise in a fast-paced environment and manage multiple deadlines.Clear communication skills and confidence dealing with internal stakeholders and external counsel/brokers.Strong integrity, reliability and sense of ownership.Working knowledge of lease agreements, insurance requirements, KYC processes or CP/CS workflows is an advantage.
