AuxiliaGroup Recruitment are hiring a Supervisor / Team Leader on behalf of our client, a well-established organisation operating within a regulated services environment.
About the Role:
This is a key leadership position responsible for overseeing the day-to-day operations of a busy office and customer support team. The Supervisor / Team Leader will ensure efficient workflow and high-quality service delivery.
You will work closely with the Office Manager, General Manager, and external IT providers, while supporting staff performance. A strong focus is placed on confidentiality, compliance, and maintaining the organisation’s professional standards and reputation.
Key Responsibilities:
Oversee daily operations and coordinate team activities to ensure efficient workflow
Ensure appropriate staff coverage, including managing absences, holidays, and scheduling
Supervise team performance, including delegation and support
Conduct regular 1-to-1 meetings and contribute to performance reviews and appraisals
Address performance, quality, behavioural, and disciplinary issues in a timely manner
Manage customer complaints and service-related issues through to resolution
Oversee claims-related correspondence, ensuring accuracy, compliance, and timely responses
Maintain effective communication with members, hospitals, consultants, and internal teams
Identify process improvements and implement solutions to enhance efficiency and service delivery
Maintain accurate records and prepare regular reports for senior management
Ensure compliance with company policies, procedures, and GDPR requirements
Promote and maintain confidentiality and adherence to clean desk and data protection policies
Oversee Health & Safety compliance within the office environment
Provide training and guidance to ensure consistency across team processes
Act as the main point of contact for IT-related issues, liaising with external providers
Support implementation of new systems and operational processes
Manage office resources including IT equipment, supplies, and general office environment
Support HR-related activities including onboarding, performance monitoring, and staff wellbeing
Oversee the importing and exporting of weekly and monthly operational files
Requirements:
Previous experience in a supervisory or team leadership role
Strong organisational and workload management skills
Excellent communication and interpersonal abilities
Proven ability to manage and motivate a team
High level of attention to detail and problem-solving capability
Experience working in a regulated or process-driven environment
Proficiency in Microsoft Office and general IT systems
Ability to manage sensitive information with confidentiality
