The HR and Office Administrator will be a pivotal position associated with the successful day to day running of the office at Meissner Castlebar Facility, reporting directly into the HR Business Partner.
The HR and Office Administrator is responsible for provides high-level administrative support to ensure smooth daily office operations, manages external service providers, facilitates internal communications, and supports human resources administrative tasks.
Essential Duties and Responsibilities
Duties and responsibilities include the following. Other duties may be assigned.
HR
* Manage employee Time and Attendance using Softworks system to ensure accuracy and compliance with all company polices.
* Organize and Coordinate the onboarding and induction process of new employees.
* Facilitate the coordination of partnerships and relationships with colleges, scholarships, internships, work experience and placements.
* Conduct Reference as part of the recruitment process to verify candidate information.
* Update Intranet training database for all employees as required.
Office
* Provide high-level administrative support to manage the day to day running of the office to include printing, scanning, opening mail, office supply inventory, sponsorship requests, company phones etc.
* Coordinate and prepare internal and external meetings and bookings, conducting and coordinating similar requests.
* Handle incoming calls, take messages, and manage all mail and correspondence efficiently.
* Meet and greet, customer, vendors and visitors to the site.
* Take care of booking accommodation, flights, and meetings when needed, making sure everything runs smoothly.
* Ensure the coffee dock, canteen, meeting rooms, and general office areas are maintained to a high standard—clean, presentable, and well-stocked with necessary supplies such as refreshments and consumables.
* Manage external providers for everyday workplace deliveries and services, including hygiene supplies, linen/mat exchanges, coffee machine maintenance, drinking water and general upkeep of shared areas.
* Maintain all site notice boards to ensure they only have relevant and up to date information.
* Create and distribute the communication of the our weekly updates to keep employees ]engaged and informed.
* Collaborate with the team to support organizational projects or events as necessary.
* Oversee the scheduling of first aid box checks and ensure timely ordering and replenishment of first aid supplies.
* Ordering and distribution of PPE and scrubs where necessary.
* Arrange/Purchase eye test/glasses vouchers as required.
* Assist in the organization of learning and development activities as required.
* Perform other clerical tasks as needed.
Qualifications, Education & Experience

* A degree in Business/Administration is preferred.
* Minimum 2-3 years’ experience in a similar role.
* Foundational knowledge of Employment Law is desirable.
* Must have strong written and verbal communication skills in Professional English.
* Excellent attention to detail, problem solving, multi-tasking.
* Good customer awareness skills.
* Proficient in the use of Microsoft Word, Excel & Outlook.
* Ability to work on own initiative & in a team environment.
* Ability to handle sensitive information with discretion.
* Able to manage multiple priorities in a fast-paced environment.
* Own mode of transport and full driving license is required.
* Methodical approach to work.
Physical Demands
Occasional work may be done in an ISO Class 7 cleanroom environment. Powder free gloves, face masks, hairnets, gowns, and shoe covers must be worn. Because smokers continue to shed thousands of smoke particles even hours after smoking a cigarette and these particles will damage our products, only non-smokers are permitted to enter or work in the cleanroom. As a result, the successful candidate must be a nonsmoker.
