Offer description

We are seeking an administrator to jointly support the Health & Safety Director and the Managing Director UK/Ireland, who will be based in our head office location in Dublin, Ireland.
Reporting to the Health & Safety Manager, requirements and responsibilities shall include:
Key Requirements:

3rd Level Qualification in Health & Safety (Minimum Diploma)
Strong written and verbal communication skills
Excellent organisational and time management skills
Ability to work independently and prioritise workload effectively
High level of attention to detail and accuracy
Strong interpersonal and communication skills
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Experience with document management systems (e.g. 4Projects, M-Files, Field View) is an advantage

Key Responsibilities:
Reporting to the Health & Safety Director, with executive support responsibilities to the Managing Director for the wider entity, your key responsibilities will include:

Health & Safety

Provide dedicated administrative support to the Health & Safety Director and Health & Safety team
Maintain and manage health & safety documentation and records
Upload and track documents using systems such as 4Projects, M-Files, and Field View
Coordinate health & safety meetings, including scheduling, preparation, and minute-taking
Organise and maintain training records and certifications
Support site teams with H&S paperwork and documentation requirements

Managing Director

Provide executive administrative support to the Managing Director
Manage calendars, schedule meetings, and coordinate appointments
Prepare reports, presentations, and correspondence
Organise internal and external meetings, including logistics and documentation
Handle confidential information with discretion
Assist with general office administration and ad hoc tasks as required
