Job Description
As a Business Operations Specialist, you will be responsible for providing administrative support to senior-level executives. Your key duties will include screening phone calls and emails, planning and scheduling meetings and appointments, and maintaining office administration files and records.
Key Responsibilities:
* Screen phone calls, enquiries and requests and handle them when appropriate
* Plan and schedule meetings and appointments
* Take minutes and track follow-up items at quarterly board meetings
* Organize and maintain office administration files and records
* Liaise with clients, suppliers, and other staff
* Assist with report preparation and editing as required
* Arrange travel, visas and accommodations
* Manage correspondence and email
* Provide quality customer service
* Assist with transaction documents and signature arrangements
* Arrange notarization, apostille, and legalization of documents
* Track original documents
* Prepare and file customer account opening forms and customs invoices
* Support bank account opening and KYC requirements

Requirements: To be considered for this role, you must have minimum 5 years' relevant administrative or business experience, preferably in the aviation industry. You should also possess excellent interpersonal and communication skills, demonstrated experience supporting senior-level executives, strong administration, planning/organization, and time management skills, multitasking ability, strong IT skills in MS Office packages, ability to work independently and meet tight deadlines, and fluency in English language skills, additional languages a plus.
