Job Title: Facilities Operations Coordinator
About the Role:
We are seeking a highly organized and detail-oriented Facilities Operations Coordinator to support the start-up of our first European manufacturing site. This role will play a key part in ensuring the efficient operations of the Facilities Department, reporting directly to the Facilities Director.
Key Responsibilities:
* Provide administrative support to the facilities department, including scheduling meetings, managing correspondence, and maintaining records.
* Help prepare and track budgets for facilities-related spend.
* E nsure all facilities comply with health, safety, and environmental regulations.
* Generate reports on maintenance activities and project progress.
* Work closely with other departments to understand their requirements and provide solutions.
* Create and manage purchase orders, ensuring timely and accurate processing. Procure supplies and services for facilities maintenance.
* Work with the accounts payable department to ensure timely payment of invoices and resolution of any discrepancies.
* Develop and manage service level agreements (SLAs) with vendors and service providers to ensure quality and performance standards are met.
* Issue employee access cards with the support of the security team to ensure proper access control and security measures.
* Supervise and issue work orders to facilities technicians & external contractors.
* E nsure completion of work to time, cost, and quality standards.
* Maintain and organize all facilities-related documents, including contracts, maintenance records, and compliance certificates.
Requirements:
* A Bachelor's degree and a minimum of 2-5 years of related experience.
* Previous experience in facilities administration or planning.
* Strong organizational and administrative skills.
* Excellent communication and interpersonal skills.
* Skilled with the Microsoft Office suite.
* Experience of managing budgets and negotiating contracts.
* Experience with purchasing software such as Coupa and Computerized Maintenance Management Systems (CMMS) like Maximo.
