Clerical Officer(Grade IV) - Men's Health (St John's) Unit
Temporary Contract (6-12 months), Full Time Hours.
Principal Duties and Responsibilities include:
* Ensure Waiting Lists, Referrals and Booking Systems to Mens Health (St John’s) Unit (MHU) are managed in an effective and efficient manner.
* Achieve and maintain standards as directed by the Healthcare Records Manager and Bed Management Unit (BMU) Supervisor.
* Proactive and timely management of the communication process between staff and stakeholders.
* Generate and update standard operating procedures for the area.
* Ensure compliance with National Treatment Purchase Fund (NTPF) Guidelines.
* Supervision and training of Urology and Clerical Officer Grade 3 (COIII) Clerical staff including orientations, probationary reviews, staff leave and deal with any performance/conduct issues accordingly.
* Manage and organise Prostate Specific Antigen (PSA) Clinics and the booking processes.
* Ensure strict adherence to Rapid Access timeframes.
* Liaising with Radiology to produce a monthly rota of prostate biopsies in accordance with Rapid Access timeframes.
* Download X-rays and scans performed externally.
* Liaise with BMU Clerical Staff for in-patient and day case surgical procedures.
* Deal with telephone enquiries from patients, GP’s, internal and external hospital Consultants, Public Health Nurses (PHNs), Pharmacies, Pharmaceutical Company Sales Representatives, etc.
* Check, verify and update patient demographics.
* Manage and organise Medical Reviews and other appointments in MHU.
* Booking and administration of medical reviews for private patients.
* Create new patient charts.
* Maintain patient charts in accordance with iPMS and HSE requirements.
* Maintain all Urology Waiting Lists.
* Manage and process T-PRO dictation/outcome for MHU.
Eligibility Criteria:
* A minimum of three years administrative experience essential.
* Previous T-PRO Dictation System experience and iPMS experience is essential.
* Hold a relevant Administration qualification and have achieved a high level of proficiency in same.
* Have a comprehensive knowledge of administrative processes and IT skills (to encompass database and MS Excel) to assist in the delivery of a coordinated approach to patient care.
* Possess excellent communication, interpersonal and organisation skills, and have the ability to work on his/her own initiative.
* Be very patient focused with an approved record of managing sensitive and confidential information.
* Be a highly motivated self-starter.
* Accuracy and attention to details in respect of data entry.
* Effectively manage time and resources.
* Be extremely flexible.
