Codeblue is expanding its logistics team to support a rapidly growing and extremely busy events division. The Clinical Logistics Coordinator plays a central role in ensuring the readiness, availability, and compliance of all operational resources.
This position focuses heavily on the management, maintenance, and deployment readiness of Codeblue's fleet of ambulances and support vehicles, while also supporting medical equipment management, logistics planning, and regulatory compliance. The role contributes directly to maintaining operational excellence in line with PHECC Clinical Practice Guidelines (CPGs), HPRA expectations, infection control standards, and Codeblue internal policies.
Key Responsibilities
1. Equipment and Stock Management
2. Maintain and replenish medical response bags and equipment.
3. Ensure accurate stock rotation and tracking of expiry dates for consumables and medicines.
4. Implement processes for stock management and storage, including PPE and controlled items.
5. Vehicle and Asset Readiness
6. Ensure vehicles are clean, stocked, safe, and deployment-ready in line with fleet management SOPs and PHECC/HPRA standards.
7. Conduct and document pre- and post-deployment vehicle checks.
8. Ensure all ambulances and support vehicles meet PHECC and HPRA requirements for equipment, oxygen systems, suction, and onboard clinical readiness.
9. Support the onboarding of new vehicles into the fleet (equipment install, stocking, documentation, branding checks).
10. Event & Training Logistics
11. Provide logistical setup and breakdown of field hospitals and treatment centres.
12. Support the delivery and retrieval of response bags, consumables, and event-specific kits.
13. Liaise with the management team to support real-time operational logistics.
14. Provide equipment, logistics, and facilities support to instructors during training courses.
15. Documentation & Records
16. Maintain records of vehicle checks, stock audits, clinical bag usage logs, and equipment maintenance.
17. Support incident-related logistics and documentation, including replacement of faulty equipment and post-event restocking.
18. Return and log PCR/ACR documents following events.
19. Infection Control & Facility Support
20. Ensure appropriate cleaning and infection prevention procedures are followed for vehicles and equipment.
21. Carry out minor facility maintenance duties where necessary.
22. Assist with winter readiness procedures such as de-icing and vehicle checks.
23. Governance & Compliance Support
24. Ensure compliance with internal policies regarding the handling, storage, and transportation of medical equipment and medicines.
25. Report any clinical or logistical incidents to the Clinical Event Operations Manager.
26. Contribute to preparation for audits or inspections by HPRA, PHECC, and other regulatory bodies.
27. Operational Support & Out-of-Hours Requirements
28. Provide occasional out-of-hours support for urgent fleet or logistics issues, including breakdowns, equipment failures, or emergency restocking.
Requirements
* PHECC Registration at EMT level (minimum).
* Experience with medical logistics, fleet management, or stock control (desirable).
* Full clean driving B licence; C1 and BE categories preferred.
* Strong attention to detail and an ability to manage multiple priorities under time pressure.
* Basic IT skills (e.g., Excel, Google Sheets, email systems).
* Understanding of patient confidentiality and data protection regulations.
Working Hours & Shift Pattern
* Standard working hours are 40 hours per week.
* Due to the nature of event medical operations, workloads fluctuate, and occasional additional hours may be required, particularly during peak event periods.
* This role involves shift-based work, including weekend duties on a rotating basis. Weekend work is expected approximately every second weekend or slightly less frequently, depending on operational demands.
* Flexibility is essential, particularly during periods of high event volume, major deployments, or urgent fleet issues.
