A full-time, temporary (Maternity Cover) vacancy has arisen for the role of PMO Project Coordinator. The successful candidate will require exceptional levels of planning and management to deliver its key strategic change programmes to Vhi. Working within the Health & Wellbeing ePMO and reporting to the ePMO lead, this role will have specific responsibility to support the efficient administration of strategic change programmes and management of specific projects.
Key responsibilities will include but are not limited to:
* Understand the business objectives of Health & Wellbeing DAC (H&W)
* Build strong relationships across the organisation
* Espouse the H&W culture, values and behaviours. Be a champion for these across the organisation Programme Administration
* Work with the ePMO lead, project and programme managers to embed and enhance the H&W Change delivery framework, processes and templates, taking ownership of the management of key ePMO processes.
* Work with the ePMO lead to ensure strategic change meetings management is standardised, documented and implemented across all meetings/boards/groups e.g. processes, templates
* Act as point of contact for programme progress and status reports for each strategic change programme, and for the overall portfolio view of strategic change programmes for executive-level review
* Act as point of contact for the master list of benefits and track benefits realisation for the overall portfolio of strategic change programmes
* Act as point of contact for the master list of risks and issues for the overall programme of strategic change projects
* Act as point of contact for the master list of Change Requests
* Act as a point of contact for project plans and support the maintenance of project plans
* Coordinate and administer key programme meetings – invites, agenda, decisions and actions, supporting documentation, tracking of actions, reports.
* Supports Programme Manager to implement project and programme plan reporting, as well as ensuring communications and coordination of workshops and user groups are organised and managed in a structured way.
* Coordinates operational activities in support of key strategic change programmes.
* Provides input and participate in EPMO-wide initiatives as required
* Manage specific projects under H&W's strategic transformation programme in a standardised manner
The successful candidate must have:
* Minimum 1 years' experience in a similar role
* Healthcare experience is desirable
* Degree: BA-level healthcare or similar relevant qualification
* Project Management Qualification desirable
* Experience of working to tight deadlines with multiple stakeholders
* Very strong administration skills with a high degree of accuracy and attention to detail
* Strong IT capability, in particular advanced Excel, Word, Powerpoint
* Ability to work efficiently with multiple business systems
* Strong interpersonal skills and team working skills with the ability to work under own initiative
Skills / Competencies:
* Excellent writing skills with experience in drafting and preparing executive-level and board-ready reports
* Strong organisational and planning skills with experience in scheduling of meetings
* Excellent interpersonal and communication skills
* Proven team player with the ability to adapt to support the needs of the team
