TrustVet | Remote-first (Ireland & UK)
TrustVet is a small, growing software company that builds essential systems for veterinary clinics across Ireland and the UK. Our tools help practices run more smoothly, stay compliant, and focus more time on clinical care - which is something we're genuinely passionate about.
We're based in Maynooth, and while this role can be done mostly remotely, we like to work together in person from time to time especially in the first few weeks while you're getting settled. You're also very welcome to work from the office if that suits you better.
We're now looking for a reliable, methodical, and highly organised Administrator to help keep our data, processes, and documentation accurate and well-structured as we grow.
This is a role for someone who enjoys making sense of complex information, spotting inconsistencies, and quietly ensuring that everything behind the scenes works exactly as it should.
About the Role
You'll play a key part in maintaining the integrity of our systems and supporting day-to-day operations. This includes working with data, documentation, invoices, and internal processes — often collaborating closely with our technical team.
You don't need to know everything on day one, but you do need to be logical, curious, dependable, and comfortable working with data and software.
We're happy to consider part-time or full-time applicants.
What You'll Be DoingData & Systems Support
* Working confidently with Excel beyond the basics
(e.g. XLOOKUP or INDEX/MATCH, Pivot Tables, Conditional Formatting)
* Comparing and reconciling datasets (such as subscriptions, invoices, or payouts)
* Spotting anomalies and helping trace their root cause
* Understanding database concepts and working with engineers where needed
(SQL experience is helpful but not essential)
Documentation & Compliance
* Organising and maintaining critical company documentation
* Ensuring there is a clear, accurate "single source of truth" for key data
* Managing compliance-related documents such as GDPR policies and Terms & Conditions
* Supporting updates and version control as requirements change
Finance & Admin Support
* Supporting invoicing and payment reconciliation
* Cross-checking invoices against contracts and agreed terms
* Flagging discrepancies clearly and accurately
Quality Assurance & Operations
* Manually testing new software features by actively using the platform
* Identifying issues, documenting them clearly, and logging them with the development team
* Tracking issues through to resolution and confirming fixes before release
* Helping triage and escalate operational issues when they arise
What We're Looking For
* Exceptionally trustworthy, organised, and detail-oriented
* Logical and methodical — you like things to make sense
* Strong Excel skills and confidence working with data
* Comfortable learning and using software tools
* Calm and adaptable when priorities shift (as they do in a small team)
* Clear communicator who can document issues and processes well
Experience with tools such as support ticket systems, Jira, Mailchimp, Canva, or similar is a bonus but willingness to learn is just as important.
