Every project we undertake reflects our commitment to quality, attention to detail, and seamless delivery from concept to completion.As our business continues to grow, we are seeking an Operations Project Coordinator to join our Dublin-based team.Role OverviewThis is a fast-paced, client-facing role where organisation, communication, and professionalism are essential. You will manage the full customer journey—from initial enquiry through to project completion—acting as the central link between clients, architects, designers, builders, and our technical teams.The role combines customer service, sales support, project coordination, and scheduling, offering a genuine opportunity to grow into a senior or leadership position within a premium interiors business.Key ResponsibilitiesClient & Lead ManagementAct as the first point of contact for homeowners, interior designers, architects, and developersHandle inbound enquiries via phone, email, and WhatsAppQualify leads by gathering drawings, measurements, photos, budgets, and timelinesMaintain accurate and detailed records within Simpro CRMProvide clear, proactive updates throughout the client journeySales & TendersPrepare, issue, and follow up on quotations and terms & conditionsSupport tender submissions and manage deadlinesProgress leads through the sales pipeline (enquiry → quote → confirmed project)Coordinate showroom visits and client presentationsScheduling & Operations CoordinationMaintain job boards and scheduling within SimproCoordinate technicians, materials, and equipment in collaboration with the stock managerProactively communicate schedule changes (weather, staffing, delays)Confirm upcoming jobs with both clients and the operations teamCustomer Experience & AftercareDeliver a seamless, premium customer experience at every touchpointResolve issues quickly with a solutions-first mindsetConduct post-project feedback and aftercare callsMaintain long-term client relationships, including 6- and 12-month follow-upsAdministration & ReportingKeep CRM records, project notes, and invoicing milestones up to dateSupport finance with deposit payments, follow-ups, and invoice trackingAssist with RAMS and BOQsEnsure GDPR compliance and adherence to company standardsIdeal Candidate ProfileEssential SkillsExcellent verbal and written communication skillsHighly organised with the ability to multitask under pressureExperience in customer service, sales coordination, or project/office administrationStrong IT skills, including CRMs, scheduling platforms, and Google Workspace / MS OfficeExceptional attention to detailDesirable ExperienceBackground in construction, stone, interiors, architecture, or design-led projectsFamiliarity with Simpro, HubSpot, or similar CRM systemsExperience managing quotes, tenders, or end-to-end project lifecyclesUnderstanding of both residential and commercial projectsPersonal QualitiesConfident and professional when dealing with clients, designers, and architectsProactive problem-solver with strong ownership and accountabilityAmbitious, enthusiastic, and eager to growReliable, resilient, and calm under pressureA collaborative team player who values clear communicationJob Type: Full-timePay: €38,000.00-€43,000.00 per yearExperience:Scheduling / Project coordination: 1 year (required)Language:English (preferred)Licence/Certification:Drivers licence (preferred)Work Location: In person
