Events Executive Assistant An exciting opportunity has arisen for an experienced Events Executive Assistant, to join a leading organisation based in Belfast. This is a full-time position for initially 6 months - with an immediate start. Working hours: Monday to Friday 36.5 hours 8.45am-5pm With a salary of £28,381 Job Role: You will be responsible for supporting the marketing communications, delivery and positioning of various events-based activities across the business. To include working with internal and external stakeholders. Essential Criteria: Previous experience of the practical planning and delivery of events as well as working in a front facing customer environment. 3 A levels or equivalent. A good standard of numeracy and literacy as demonstrated by qualifications at GCSE grade 'C' or equivalent or by relevant work experience. Demonstrable experience of using social media platforms to promote and drive engagement for events. Demonstrable experience of financial management. Excellent communication skills both written and verbal, with the ability to communicate with stakeholders at all levels. Ability to work as part of a team as well as on your own initiative. Ability to manage and prioritise a busy workload while adhering to deadlines. Willingness to on occasions, work outside of normal office hours and at weekends for external events to meet the duties of the post. Desirable Criteria: Evidence of writing social media campaigns. Main Duties and Responsibilities: Working with the Head of Communications, Special Projects, manage delivery of DfE £300k funding to support animation and activity in NW region Support allocation of finances Produce a budget and track overall budget spend Plan and oversee video and photography "case studies" of funding and its impact Support event management and structure an event from inception to delivery and review including Venue and supplier sourcing and booking Support the medium and large-scale events including the International EUNIS congress event in the Belfast site, as well as small scale events including more community and stakeholder activities Support the planning for spring and summer music events Assist with other events and outward facing activity as required Undertake data input and key administrative tasks to establish core documents and protocols for the effective recording, monitoring and management of activities on all campuses Prepare event materials and produce/prepare promotional copy including checking copy for mistakes, corrections Deliver and book internal event services and repeat events Manage attendees at events (queues, customers) and volunteer at various events to get experience of different event types Working with the Head of Communications, Special Projects to support key engagements and activities Building sustainable and appropriate internal and external networks and making a positive contribution to the work of key strategic partners Connect with more senior team member or colleagues in another departments Shadow people in similar roles from other departments Undertaking any other reasonable duties as required Skills: events assistant events management events
