We are seeking a highly organised and detail-oriented Purchasing & Quality Assurance Coordinator to take ownership of purchasing, stock management, supplier performance monitoring, and compliance activities. This role is critical in ensuring the smooth flow of raw materials, maintaining strong supplier relationships, and upholding the highest standards of quality, ISO certification, and GMP compliance. The position will also act as a point of contact for handling customer complaints and supporting continuous improvement initiatives.
Key Responsibilities
Purchasing & Supplier Management
* Source and purchase raw materials and consumables in line with business requirements.
* Manage supplier relationships, ensuring contracts, pricing, and terms remain competitive.
* Monitor and analyse supplier performance, including cost, reliability, and quality metrics.
* Conduct regular supplier reviews to ensure consistent performance and compliance.
* Conduct vendor risk assessments and maintain supplier scoring systems.
* Manage Supplier Corrective Action Requests (SCARs) and ensure timely closure.
Stock & Materials Management
* Oversee the raw material stock, ensuring items are labelled and stored correctly.
* Ensure expiry dates and re-test dates are continuously updated and accurate.
* Liaise with the planning department to ensure materials required are in stock/ordered to support production schedules.
* Investigate and resolve stock discrepancies in collaboration with relevant departments.
Goods In & Quality Control
* Manage the Goods In process, ensuring all deliveries meet required specifications.
* Carry out inspections and quality control checks on incoming materials.
* Ensure any non-conformances are identified, documented, and resolved promptly.
* Liaise with operations team to ensure items are labelled correctly upon arrival and stored in the correct location.
Compliance & Quality Systems
* Support the maintenance of ISO certification and compliance with GMP standards.
* Ensure company policies, procedures, and documentation remain up to date.
* Assist in audits (internal and external), ensuring all corrective actions are implemented effectively.
* Own the CAPA (Corrective & Preventive Action) process for supplier and customer complaints.
Continuous Improvement
* Work cross-functionally to identify process improvements and cost-saving opportunities.
* Provide reports and analysis to management on supplier performance and quality issues.
* Support Finance and Operations with purchasing forecasts and cost-control measures.
Skills & Experience Required
* Proven experience in purchasing, supply chain, or quality assurance roles.
* Knowledge of ISO standards and GMP requirements.
* Strong organisational and problem-solving skills.
* Excellent communication and negotiation abilities.
* Ability to analyse data, prepare reports, and present findings.
* Competent in using ERP/MRP systems and Microsoft Office Suite.
Desirable
* Experience in a manufacturing or regulated industry (e.g., pharmaceutical, food, medical devices).
* Formal qualifications in procurement, supply chain management, or quality assurance.
* Internal auditing experience.
