Parts and Warranty Manager
This is a key leadership role that will support the company's vehicle service, repair, and aftersales operations by ensuring efficient parts supply and accurate warranty claim processing.
Responsibilities will include –
1. Manage the complete lifecycle of parts operations from procurement through to internal distribution and inventory control.
2. Ensure availability of high-demand parts while maintaining cost-effective stock levels.
3. Coordinate closely with the Service Delivery Manager to pre-plan parts requirements for upcoming jobs.
4. Process internal and external parts orders, ensuring timely and accurate fulfilment.
5. Place orders with suppliers and negotiate pricing through effective cost comparisons.
6. Oversee goods-in and goods-out procedures, ensuring correct allocation to job cards and internal systems.
7. Maintain an organised and well-documented parts storage area.
8. Ensure up-to-date and accurate records are maintained within the Dealer Management System (DMS).
9. Lead and coordinate annual stock takes and implement robust stock control procedures.
10. Provide parts support and technical advice to internal teams and customers, delivering exceptional service at all times.
Warranty Management
11. Prepare and submit warranty claims in compliance with manufacturer and company guidelines.
12. Maintain accurate warranty documentation and ensure timely processing of claims.
13. Monitor and track claim statuses, following up on any pending or rejected items.
14. Resolve warranty-related customer issues professionally, ensuring transparent communication.
15. Collaborate with service teams to ensure warranty-eligible work is identified and submitted correctly.
16. Highlight recurring warranty issues and support the technical teams in root-cause analysis.
17. Build and maintain strong working relationships with OEMs and warranty providers.
18. Keep up to date with manufacturer policy changes, technical bulletins, and claims procedures.
Candidate Requirements –
19. Proven experience in a parts and warranty management role, ideally within a commercial vehicle or heavy-duty equipment environment.
20. Excellent organisational, analytical, and problem-solving skills.
21. Strong understanding of inventory control, parts supply chain, and warranty claims processing.
22. Familiarity with dealership management systems (DMS) such as Kerridge, Autoline, Keyloop or similar.
23. Confident communicator with the ability to engage suppliers, customers, and internal teams effectively.
24. Detail-oriented and process-driven, with a proactive approach to continuous improvement.
25. Ability to work independently while contributing to a collaborative team environment.
