The HR and Office Administrator will play a key role in the successful day-to-day operations of the Meissner Castlebar Facility, reporting directly to the HR Business Partner.

The HR and Office Administrator provides high-level administrative support to ensure smooth office operations, manages external service providers, facilitates internal communications, and supports HR administrative tasks.

Essential Duties and Responsibilities

Responsibilities include, but are not limited to:

* Managing employee Time and Attendance using the Softworks system to ensure accuracy and compliance with company policies.
* Organizing and coordinating onboarding and induction processes for new employees.
* Facilitating partnerships with colleges, scholarships, internships, work experience, and placements.
* Conducting reference checks to verify candidate information during recruitment.
* Updating the intranet training database for all employees as required.

Office

* Providing administrative support for daily office operations, including printing, scanning, mail handling, office supplies, sponsorship requests, and managing company phones.
* Coordinating meetings, bookings, and internal/external event arrangements.
* Handling incoming calls, messages, and correspondence efficiently.
* Greeting visitors, vendors, and clients professionally.
* Arranging travel accommodations, flights, and meetings as needed.
* Maintaining the cleanliness and stock of the coffee dock, canteen, meeting rooms, and office areas.
* Managing external providers for workplace services and supplies.
* Keeping site notice boards current and relevant.
* Distributing weekly updates to employees to keep them informed and engaged.
* Supporting organizational projects and events as necessary.
* Scheduling and overseeing first aid kit checks and supplies.
* Ordering and distributing PPE and scrubs as needed.
* Organizing eye tests and glasses vouchers when required.
* Assisting with learning and development activities.
* Performing other clerical tasks as needed.

Qualifications, Education & Experience

Candidates should meet the following requirements:

* A degree in Business or Administration is preferred.
* 2-3 years of experience in a similar role.
* Basic knowledge of Employment Law is desirable.
* Strong written and verbal communication skills in Professional English.
* Excellent attention to detail, problem-solving, and multi-tasking abilities.
* Good customer service skills.
* Proficiency in Microsoft Word, Excel, and Outlook.
* Ability to work independently and as part of a team.
* Discretion in handling sensitive information.
* Ability to manage multiple priorities in a fast-paced environment.
* Own transportation and a full driving license are required.
* A methodical approach to work.

Physical Demands

Occasional work may be in an ISO Class 7 cleanroom environment, requiring PPE such as gloves, masks, hairnets, gowns, and shoe covers. Only non-smokers are permitted to work in the cleanroom due to contamination risks from smoke particles.
