Patient Services Department
We are currently looking to hire Grade III Clerical Officers to join our Patient Services team here in the Rotunda Hospital. We have Permanent Full-time and Part-time posts, and Specified Purpose contract posts available. The successful candidates will be working alongside a team of dedicated professionals. Under general supervision and following established policies and procedures, you will provide comprehensive administrative support to the area assigned and as directed. The successful candidate will be required to deal effectively with requests and queries and provide clerical support in the area assigned within Patient Services. We may create a panel of future candidates from this competition.
Based in the City Centre and on the grounds of the oldest continuously operating maternity hospital in the world, you will have the opportunity to work with colleagues across all professional disciplines and become part of the Rotunda family.
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
1. Ensure patient confidentiality at all times.
2. Communicate at all times work issues to supervisor.
3. Be able to provide front line direct patient care at OPD clinic settings
4. General clerical duties including patient registration, creating & logging of referrals, scheduling of OPD appointments, scanning and other ad hoc duties as required.
5. Provide an excellent telephone customer service to patients, GPs & any others and also keep accurate and up to date telephone logs, if required
6. Be continually vigilant in terms of accuracy, organisation of work, confidentiality and customer service.
7. Assist in the overall smooth running of a busy service.
8. Provide excellent and discreet front line customer service
9. Provide locum cover in the absence of staff when required.
10. Deputise for the Grade IV supervisor as required
11. Ensure all multi-patient task lists (MPTLs) assigned are completed daily
12. Develop and improve on communication channels with clinical & non-clinical colleagues
13. Ensure Patient information on paper or electronically is continually held in safe custody and legal requirements and hospital directives are maintained
14. Take personal responsibility for the accuracy and integrity of manual and computerised data entered in line with current Data Protection legislation and internal policies
15. Take responsibility for appropriate and timely tracking of all healthcare records in their care on the iPMS tracking module
16. Assist with telephone queries, appointment scheduling and OP Waiting List initiatives, as appropriate
17. Participate on relevant hospital committees when required
18. Promote and develop channels of communication within the multidisciplinary team
19. Undertake training and development activities consistent with the position
20. Other duties appropriate to the post as assigned from time to time
21. Actively contribute, participate and ensure compliance with the key areas identified in the following:
Infection prevention and control / decontamination
National Quality/Hygiene Schemes
B.F.H.I.
And all audits deemed necessary by the Rotunda Hospital Management Team.
The successful candidates will have:

* Proven team work attitude & flexibility in working schedule essential
* Ability to multitask and be flexible with working hours
Eligibility Criteria:
1. Professional Qualifications, Experience, etc.
(a) Eligible applicants will be those who on the closing date for the competition:
(i) Obtained at least grade D (or pass) in Higher or Ordinary Level in five subjects from the approved list of subjects in the Department of Education established Leaving Certificate Examination or Leaving Certificate Vocational Programme or Leaving Certificate Applied
Or
(ii) Passed an examination of at least equivalent standard
(iii) Satisfactory relevant experience which encompasses demonstrable equivalent skills
And
(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.
(c) Health: Candidates for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
(d) Character: Candidates for and any person holding the office must be of good character.
