 
        
        We are seeking an experienced, highly organised, and proactive Facilities Coordinator to oversee the maintenance and operational excellence of our clients corporate office based in Dublin 2.
You will be responsible for ensuring that all facilities are safe, functional, clean, and well-maintained, creating a positive and professional environment for both customers, clients and staff.
The ideal candidate will have a strong background in facilities, excellent vendor management skills, a solid understanding of health and safety regulations, and the ability to respond effectively to a wide range of maintenance issues.
This role is crucial in supporting business operations.
Responsibilities:
Facilities Coordination:
 * Manage all external contractors for building maintenance, repairs, and cleaning services.
 * Administer the contractor sign-in/sign-out procedures and permit-to-work process.
 * Oversee inventory for office supplies and food, placing orders as needed.
 * Ensure all health and safety protocols are maintained, including fire safety and emergency procedures.
 * Conduct regular inspections of the office facilities and promptly resolve any issues.
 * Provide support for setting up and preparing for company events.
Front of House:
 * Serve as the first point of contact, providing a pleasant and professional welcome to all visitors.
 * Maintain the cleanliness and presentation of the reception area.
 * Efficiently manage and distribute incoming post and deliveries.
 * Answer and direct all incoming phone calls and emails.
 * Handle inquiries from contractors, visitors, and employees in a courteous and helpful manner.
Essential Skills and Requirements:
 * Proven experience in a facilities coordination, and front-of-house role.
 * Experience managing external vendors and service provider
 * Knowledge of managing health and safety in an office environment.
 * Knowledge of BMS, CAFM and ticketing systems desirable.
 * Strong organisational and time-management skills, with the ability to prioritize tasks and meet deadlines.
 * Extremely professional, efficient, discrete and have good interpersonal skills.
 * Will demonstrate the ability to provide top class customer service, always going the extra mile.
 * Excellent verbal and written communication skills.
 * Ability to build a rapport with professionals and clients at all levels of the organisation.
Qualifications (Desirable)
* Relevant certification in Facilities Management, Property Management, or a related field.
* Strong knowledge of Irish Health and Safety legislation.
