We are seeking a highly organized and experienced individual to join our Consultant-led Mental Health Outpatients team as a Medical Secretary.
Key Responsibilities:
* Schedule and manage patient appointments in a busy, patient-focused environment, ensuring seamless coordination and excellent customer service.
* Provide high-quality audio typing support for clinicians, maintaining accuracy and confidentiality at all times.
* Take precise minutes of meetings, utilizing Microsoft Teams technology to facilitate efficient communication and collaboration.
* Cover reception duties, welcoming patients and handling inquiries with professionalism and courtesy.
* Manage correspondence, records, and data input according to Trust standards, ensuring efficiency and adherence to policies, promoting a culture of excellence and continuous improvement.
* Collaborate with colleagues to deliver exceptional service, promoting teamwork and adaptability in a fast-paced clinical setting.
Essential Criteria:
* Previous secretarial or administrative experience, with a strong understanding of organizational principles and ability to work effectively in a dynamic environment.
* Proficiency in Microsoft Office applications, including audio typing and minute taking skills, with a focus on precision and attention to detail.
* Excellent communication and teamwork skills, with the ability to prioritize workload effectively and contribute to a positive and supportive team culture.
* Flexibility and adaptability in a fast-paced clinical setting, with a commitment to confidentiality and Trust policies, and ability to work effectively under pressure.
Desirable Criteria:
* Experience with Encompass software, with willingness to learn and adapt (training will be provided), and ability to quickly absorb new technologies and systems.
* Previous NHS or healthcare administration experience, with knowledge of Trust standards and protocols, and ability to apply this expertise in a collaborative and supportive manner.
