Building Receptionist / Building Manager

Department: Administration and Property Management

Location: Crown Square, Galway

Reports to: Property Management Team


Job Specification

Crown Square Management Company seeks a Building Receptionist / Manager to join our property management department. This role involves managing a new commercial office property and overseeing estate management of Crown Square. You will also provide administrative support to our property management team.

The ideal candidate will have at least 1 year of experience in administration or a commercial property management environment.


Key Responsibilities

* Welcoming guests, providing information, and directing them appropriately.
* Liaising with office staff and managers within the development.
* Serving as the first point of contact for visitors, clients, and staff.
* Scheduling appointments, coordinating meetings, and managing conference room bookings.
* Performing administrative tasks such as filing, data entry, and supplies ordering.
* Maintaining the reception area and managing postal deliveries.
* Assisting the Property Manager with budget management.
* Managing planned and reactive works through contractors and purchase orders.
* Supporting budget preparation and expenditure reviews.
* Communicating regularly with tenants regarding property operations.
* Conducting on-site inspections and documenting findings.
* Implementing ESG initiatives and uploading data to ESG platforms.
* Assisting with building security to control access.
* Coordinating with cleaning and maintenance staff.
* Managing access control, basement parking, and common areas.


Person Specification

* Strong interpersonal and communication skills.
* Proactive attitude and team-oriented approach.
* Property or Facilities Management qualification is a plus.
* Technical knowledge or Facilities Management experience.
* Excellent IT and organizational skills.
* Ability to take initiative and meet deadlines.
* Well-organized with multitasking ability.
