Receptionist (Onsite; x 5 days)

About the Job

Sitting as part of the HR Team, the Site Administrator/Receptionist will manage the front-of-house office while providing administrative support to the HR / L&D and SLT Teams. This is a key-role which ensures that the office is running efficiently and everyone has what they need to excel.

You will:

Reception/Site Support

* Be responsible for opening and closing Reception, general admin duties, answering phones, managing incoming emails and daily post.
* Welcome visitors to the Eirgen site, ensuring that they receive a visitor pass and WIFI access as required.
* Plan and coordinate Company events, including but not limited to, Townhalls, Team building events, and the annual Christmas Party.
* Manage travel and catering arrangements including booking external offsite meeting rooms, and arranging flights, transfers, and accommodation.
* Support the Canteen Assistant during onsite visits.
* Be responsible for ordering items such stationary and canteen supplies, as well as supporting the HR & L&D Team with ad hoc requests for orders.
* Daily walk of facility to ensure all office areas are in operating order and set up for success.

EHS

* Act as the Safety Champion for the HR Team, ensuring that the monthly safety walks are completed and engage the HR Team in safety.
* Ad hoc EHS support as required

HR

* Be first point of contact for employee queries regarding benefits such as their health insurance and pension, ensuring that new joiners are set up swiftly and the management of any leavers from the schemes.
* Manage the employee annual medical process, including scheduling pre-employment, exit, and occupational health appointments as required.
* Provide support to the HRBP to plan and coordinate CSR, Wellbeing, and DEI&B events as required.
* Assist employees with day-to-day queries, such as issuing letters to employees for the bank etc.
* Provide administrative support to the Reward and Recognition programme, including the management of stock items.

Learning & Development

* Supporting L&D programme scheduling
* Coordinating reporting and records management
* IDA administration

About you

You have experience as a receptionist or in a comparable administrative role, with a track record of success in maintaining efficient operations. You have the ability to manage multiple responsibilities and prioritize tasks effectively in a fast-paced environment. You have excellent verbal and written communication skills, including advanced knowledge of Microsoft Office Suite. You are a problem-solver with an ability to identify creative, practical solutions.
