Role Overview The Utilities Maintenance Scheduler / Planner is responsible for planning, scheduling, and coordinating all maintenance activities within the designated area of responsibility.

This role serves as a key link between cross-functional teams, ensuring maintenance activities are effectively planned, prioritised, and executed in alignment with operational and manufacturing requirements.

The position has overall responsibility for long-term maintenance coordination within the Computerised Maintenance Management System (CMMS), ensuring activities are optimally scheduled within agreed maintenance windows to maximise equipment availability and minimise operational disruption.

Key Responsibilities Provide a forward-looking forecast of maintenance activities (30, 60, 90 days and beyond where applicable), including current schedule status, ensuring no work orders become overdue.

Schedule all Preventive Maintenance (PM) activities, allowing sufficient time for spare parts kitting, verification, and material readiness.

Organise and lead Utility maintenance scheduling meetings to ensure alignment with customer, manufacturing, and maintenance requirements.

Collaborate with Manufacturing Operations, Laboratory Operations, and Maintenance Coordinators to plan activities around production schedules and agree required downtime.

Adjust and level planned maintenance workload as required, rescheduling incomplete work in response to operational changes.

Provide annual and quarterly PM forecasts to Manufacturing and Laboratory Operations to support maximum equipment uptime.

Assist in the development and coordination of shutdown schedules to minimise downtime and optimise alignment of preventive maintenance activities.

Develop, track, and maintain performance metrics to monitor work order progression and schedule adherence.

Identify and implement continuous improvement opportunities within the CMMS (GMARS) and broader maintenance processes.

Work closely with Maintenance Planners and craft teams to ensure CMMS data accuracy and compliance.

Drive CMMS compliance improvements across the department.

Ensure all updates to PMs, Job Plans (JPs), Data Sheets (DSs), checklists, location and asset data, and inventory records are completed in accordance with site procedures.

Utilise CMMS functionality to support business process optimisation.

Support LEAN initiative rollouts within the maintenance function.

Support "Time on the Floor" activities, Quality audits, and EH&S audits as required.

Basic Qualifications Minimum FETAC Level 6 (or equivalent) in Mechanical, Electrical, or Instrumentation discipline.

Additional Skills & Experience Minimum of 2 years' experience in maintenance planning or scheduling.

Demonstrated experience in long-term maintenance scheduling.

Strong interpersonal and stakeholder management skills.

Experience using Computerised Maintenance Management Systems (CMMS), ideally GMARS.

Intermediate IT proficiency, including Microsoft Word, Excel, and E-Systems; experience with Track Wise and Regulus is advantageous.

Further education in an engineering-related discipline is desirable.

Experience working within a regulated industry environment.

Knowledge of pharmaceutical manufacturing processes is advantageous.

Strong written and verbal communication skills.

Ability to work independently and take initiative.

Strong team collaboration skills.

Ability to respond proactively and effectively to changing priorities.
