Role: Sales Administrator / Executive Assistant
Location: Dublin (Hybrid / Office-based depending on candidate)
Reports To: Directors (Kyle McCarthy & Peter Reynolds)
Role Purpose
We are seeking a proactive and highly organised individual to join Wayfinders as a Sales Administrator / Executive Assistant. This role combines administrative excellence with sales support, ensuring the smooth running of day-to-day operations while contributing to our business growth. You will play a key role in managing communications, coordinating schedules, and supporting the preparation of tenders and proposals.
Key Responsibilities
Administrative Support
* Manage and prioritise incoming emails and phone calls.
* Coordinate and maintain diaries for the Directors, including scheduling meetings and appointments.
* Prepare correspondence, reports, and documents as required.
* Maintain electronic and physical filing systems.
Sales Administration
* Assist in the preparation of pricing tenders, proposals, and client submissions.
* Manage and update CRM/lead tracking systems, ensuring client information is accurate and current.
* Support follow-ups with clients, contractors, and partners.
* Produce supporting sales materials and presentations when needed.
Client & Team Support
* Act as first point of contact for client queries and partner communications.
* Support wider team members with administrative or project tasks.
* Ensure deadlines are tracked and met across ongoing projects.
Candidate Profile
Essential Skills & Experience
* Previous experience in a PA, EA, Sales Administrator, or similar role.
* Excellent organisational and multitasking skills with strong attention to detail.
* Confident communicator (written and verbal), comfortable liaising with clients.
* Proficiency with MS Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
* Ability to work independently, manage competing priorities, and show initiative.
Desirable Skills
* Experience in preparing tender submissions or sales proposals.
* Knowledge of CRM systems (e.g. HubSpot,, Salesforce).
* Familiarity with construction, design, or project-led industries.
