The Purpose of the Role The Club & Communications Executive Officer will provide day-to-day administrative support to student sport clubs.
They will work with students and club committees to develop the sports programme at Trinity College in line with the aims of the Trinity College Strategy for Sport & Physical Activity **********).
The postholder will assist with the delivery of the Trinity Sport club communications & development plans aligning to the strategy and ensure that club activities are promoted.
The role will involvecloseliaisonwithsports clubs, club committee members,club volunteers,coaches,andthe wider Trinity sport team.
Context The role will work as part of the Sports Development Unit and will work with the wider team in working towards the objectives in the Strategy of Sport & Physical Activity.As part of Trinity College Strategy for Sport & Physical activity our overarching participation goal is that every student in the University engages in sport at whatever level and in whatever way that best enhances their student experience.
The role holder will work with all Trinity Sport Clubs to ensure that all clubs are supported with the day to day operating of the club and that clubs adhere to all policies and procedures in place for the safe participation of students in clubs.
The role reports to the Club Operations & Development Manager.
Main Responsibilities Administration Provide daily administrative support to all Trinity Sport clubs, acting as the first point of contact and support for clubs.
Gather, monitor, analyse and report statistical information related to club activity Provide administrative supports, such as report writing, minute taking, organising meetings, travel arrangements and coordinating calendar/diaries where required.
Assist with developing sports development projects aligned to Trinity Sport strategic plan.
To assist in the day to day financial transactions, and draw down of club funds To Support the delivery of Trinity Sportevents including Club Officer training, Sports Awards, Freshers Week etc.
To assist in the development and co-ordination of club activity; Collate, prepare and submit regular reports as required.
To support the Club & Operations Manager with ensuring all sports clubs adhere to the relevant policies and procedures and ensuring accurate records are kept of compliance.
Communications To assist with the implementation of a Communications Plan for Trinity Sport to include increased promotion of sports stories in local, national press, social media and communications channels To maintain a communications contact pathway internally and externally for Trinity Sport To prepare regular updates on the appropriate integrated platforms for Sport- i.e. new Trinity Sport web site and social media To work with the Trinity Sport staff with responsibilities for communications and links with Communications team Productionofcommunicationssuchase-zines,press releases,websitearticles,reports,a calendar of eventsandothersas required Encourage and support communication from Clubs for inclusion in publicity material (web, newsletters, Facebook etc.) General Compile regular reports on the delivery of all activities, ensuring that KPIs are tracked Any other duties that arise from time to time as directed by the manager or nominee.
Ensure that University policies and procedures are applied to all areas of delivery Person Requirements The role-holder will require the following knowledge, skills, and attributes for successful performance in the role.
Qualifications A thirdlevel qualification or appropriate experience in the area of sports development or administration (essential) Knowledge Working knowledge of Microsoft Office, e-mail, and the web (essential) Knowledgeofthestructure,policiesandproceduresoftheUniversity(desirable) Knowledge of the third level sport and physical activity sector (desirable) Experience Minimum of two years administration experience (essential) Experience with various communications methods such as web and social media (essential) ExperienceandinterestintheSportandPhysical Activity sector(desirable) Experienceofworking with third level students (desirable) Skills Excellent administrative,communicationand ITskills (essential) Excellentreportingand organizationalskills (essential) Strong team worker (essential) Excellent customer service (desirable) Excellent interpersonal skills with an ability to communicate effectively with a wide range of audiences (essential) Personal Attributes Enthusiast,self-motivatedwithgoodinterpersonalandproblemsolvingskills (essential) Flexibility and willingness to work outside normal working hours as the demands of the post may require work outside normal office working hours from time to time (essential) For full job details please see TCD Vacancies portal.
