Overview
Administrative Assistant (Ireland) role at K2 STRATEGIC. This position is for K2 Data Centres, a company under Kuok (Singapore) Limited, based in Dublin, Ireland. K2 is seeking an Administrative Assistant to manage and service data centre infrastructure and facilities to support human resources, general office management duties, and guest/event coordination activities.
Responsibilities
* Human Resources Support: Serve as the primary point of contact for HR-related queries in Ireland, providing guidance on company policies and procedures. Work closely with GroupHR team to manage onboarding and offboarding, maintain employee records and ensure compliance with local employment laws, and collaborate with HR Business Partners to develop and implement robust HR policies and procedures.
* Training Management: Develop and manage training plans for the Operations team, ensuring trainings are scheduled and recorded in Easy Generator and SuccessFactors. Compile toolbox talks on Microsoft Forms and transfer them to the Easy Generator application. Manage training nomination forms for approval and documentation. Manage training auto release on the DFM ticketing system.
* Event Organization: Organize K2 Ireland events such as Christmas parties and summer parties by coordinating venue bookings, food and beverage arrangements, accommodation, transportation, and entertainment. Manage new or potential avenues for corporate social responsibility (CSR) initiatives to enhance the company’s community engagement.
* Visitor Management: Order and organize refreshments for meeting rooms. Greet visitors upon their arrival and ensure a warm and professional welcome.
* Inductions: Point of contact for K2 site inductions. Review and update on Easy Generator and manage data retention period.
* Personal Protective Equipment and Uniforms: Point of contact for ordering and replenishing uniforms and PPE across the facilities. Manage uniform approval forms and documents. Manage PPE stock and reorder where required.
* Other Responsibilities: Assist with Adhoc projects as required; mentor new staff to support their integration into the team and foster a positive work environment.
Qualifications
* Strong organizational skills with an eye for detail.
* Excellent communication and interpersonal skills, able to build strong relationships and provide effective support.
* Possess a good understanding of local employment law.
* Demonstrate maturity in handling sensitive and confidential information.
* Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
