The Operations Workstream Support Officer will provide critical support to the Workstream Lead in the delivery and execution of operational projects, with a particular focus on project management, organisation, and stakeholder coordination. The role is central to ensuring the successful implementation of new client onboarding, conversions, and operational readiness initiatives. The Officer will be expected to demonstrate strong project management skills, attention to detail, and the ability to work collaboratively across multiple teams and stakeholders.Key ResponsibilitiesSupport the Workstream Lead in planning, scheduling, and executing project deliverables across multiple operational workstreams.Attend and contribute to due diligence, gap analysis, and project meetings, capturing actions and following up to ensure completion.Assist in the preparation, documentation, and management of project plans, status reports, and risk logs.Coordinate and track progress of workstream activities, ensuring timely completion of tasks and escalation of issues as needed.Liaise with internal and external stakeholders to gather requirements, clarify expectations, and communicate project updates.Support the design and documentation of operating models, workflows, and handovers between teams and locations.Assist in the preparation and execution of User Acceptance Testing (UAT) and Model Office Testing, including test plan creation, scheduling, and reporting.Proactively identify and manage project risks and issues, ensuring appropriate mitigation and communication.Maintain thorough documentation throughout the project lifecycle, including sign-offs and audit trails.Support process improvement initiatives by streamlining reports, documenting checklists, and updating procedures.Foster strong working relationships with colleagues, clients, and stakeholders to ensure effective collaboration and delivery.Uphold quality standards, aiming for accuracy, timeliness, and continuous improvement in all activities.Organisational SkillsMaintain comprehensive and up-to-date project documentation, ensuring all records, action logs, and deliverables are easily accessible and audit-ready.Develop and manage detailed checklists, trackers, and schedules to monitor progress and ensure all tasks are completed on time.Prioritise competing demands effectively, balancing urgent requests with long-term project objectives.Coordinate logistics for meetings, workshops, and testing sessions, including agenda preparation, minute-taking, and follow-up on action items.Demonstrate meticulous attention to detail in all aspects of work, from data entry to report preparation.Proactively identify process gaps and recommend improvements to enhance operational efficiency.Ensure seamless handover of information and tasks between teams and locations, minimising disruption and duplication.Manage multiple workstreams simultaneously, maintaining clarity and focus on deliverables.Project Management SkillsAssist in the development, maintenance, and execution of project plans, timelines, and resource allocations.Track project milestones, deliverables, and dependencies, escalating risks and issues promptly to the Workstream Lead.Facilitate effective communication among project stakeholders, ensuring alignment on objectives, timelines, and responsibilities.Prepare and deliver regular status updates, dashboards, and reports to keep stakeholders informed of progress and challenges.Support the identification, assessment, and mitigation of project risks, maintaining a proactive approach to problem-solving.Coordinate User Acceptance Testing (UAT) and Model Office Testing activities, including test plan development, scheduling, and results tracking.Drive follow-up on outstanding actions, ensuring accountability and timely completion.Adapt to changing project requirements and priorities, demonstrating flexibility and resilience.Contribute to post-project reviews, capturing lessons learned and best practices for continuous improvement.Knowledge, Skills, and CompetenciesEssential:Transfer agency/Fund industry skills are essential.Proven project management skills, with the ability to manage multiple priorities and deadlines.Excellent organisational and administrative abilities;
