**About the** **Office & Facilities Operations Executive:**The Office & Facilities Operations Executive is a hands-on, individual contributor role responsible for the day-to-day running of the Dublin office.
The role is primarily focused on facilities and workplace operations (approximately 85%), with a smaller element of administrative and executive support (approximately 15%).
This role suits someone with prior office or facilities experience who is comfortable working independently, coordinating vendors and stakeholders, and keeping the workplace running smoothly, safely, and professionally.
**Role & Responsibilities:**Facilities & Workplace Operations (85%)* Manage the day-to-day operation of the Dublin office, ensuring a safe, professional, and well-maintained working environment.
* Coordinate cleaning, maintenance, building management systems (BMS), workspace setup, and general office upkeep, including monitoring stock levels of office supplies and consumables.
* Act as the main operational point of contact for landlords, building management, and external service providers.
* Coordinate vendor activities, manage service providers, track service levels (SLAs), and support facilities-related procurement.
* Track facilities-related budgets, invoices, and routine operational spend, escalating variances where needed.
* Support and coordinate Health & Safety activities, including maintaining documentation, supporting risk assessments, coordinating incident reporting, and escalating issues in line with company policies and statutory requirements.
* Act as a facilities contact during building incidents or emergencies (e.g. fire alarms, building issues), coordinating with building management and internal stakeholders.
* Serve as a trained First Aider and Fire Warden (training will be provided) and support ongoing workplace safety and wellbeing initiatives.
* Coordinate IT and workplace equipment needs with internal IT teams, including workstation setup and basic asset tracking.
* Resolve day-to-day facilities or operational issues promptly, escalating more complex matters where appropriate.
* Manage visitor access in line with Facilities SOPs (pre-visit, check-in, post-visit follow-up) and coordinate catering when required.
* Work closely with the Information Security team to support physical security controls, including identifying and escalating physical security issues.
* Provide regular operational updates to the Facilities Leadership team, covering completed and upcoming works, vendor performance, incidents, and spend.Administrative & Executive Support (15%)* Support new-hire onboarding, including workspace setup, access badges, induction coordination, and equipment preparation, in line with internal data protection policies.
* Respond to employee queries related to office and facilities matters.
* Provide ad-hoc administrative support to executives, such as meeting coordination, travel bookings, and calendar assistance, where business needs require.
* Support office culture and engagement activities, including events and team initiatives.
* Maintain facilities and office records, trackers, and documentation to support smooth operations and audit readiness.
* Assist with occasional executive schedule changes to accommodate client meetings.
**Skills & Qualifications:*** Previous experience in office management, facilities coordination, or workplace operations.
* Proven experience coordinating vendors and day-to-day facilities services.
* Good working knowledge of workplace Health & Safety practices in Ireland; experience supporting compliance activities in a regulated environment is desirable.
* Strong organisational and time-management skills, with a practical, hands-on approach.
* Comfortable working independently and managing competing priorities.
* Clear communicator with the ability to handle sensitive information discreetly.
* Experience supporting onboarding and office logistics.
* Fluent in spoken and written English.
