Tallaght University Hospital (TUH) is a model 4, voluntary, academic teaching hospital located in south west Dublin. It serves a population of approximately 800,000 people and provides acute, tertiary and specialist care.
Purpose of the role: The Administration Assistant, Grade IV will provide essential administrative support to the Rheumatology Department, ensuring smooth operation of the department and supporting its clinical staff.
Key Duties and Responsibilities:
Provide general administrative support to the department and clinical staff.
Handle telephone queries relating to the department function.
Liaise with staff in other departments, the public, and outside agencies in a confidential, courteous and professional manner.
Liaise with consultants and their multi‑disciplinary teams where appropriate.
Ensure correspondence with GPs and other hospitals is dealt with in a timely manner.
Provide clinic cover when required.
Locate charts outside of medical records when required.Maintain efficient general office procedures as appropriate to the post.
Type and file all general correspondence and documentation relating to the department.
Process and facilitate the collation and presentation of data for research projects and work undertaken by the department.
Use computer packages relevant to the role.
Carry out any other duties assigned from time to time.
Process Cellma/T pro letters.
Qualifications & Experience Required:
Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent.
Or have passed an examination at the appropriate level within the QQI qualifications framework comparable to the Leaving Certificate standard or higher (e.g., FETAC Level 5).
Or have satisfactory relevant experience encompassing demonstrable equivalent skills.
Must have 2 years relevant administration experience, practical experience of IT systems/packages, and fluent command of English.
Desirable:
Administration experience in a healthcare environment.
Knowledge of managing wait lists.
Experience running OPD clinics.
Experience admitting and discharging patients.
Reward & Recognition:
Remuneration in accordance with the Department of Health Consolidated Salary Scales, grade code 0558. These particulars are subject to change in line with overall public pay policy.
Appointment is permanent, full time and pensionable.
Annual leave entitlement of 27 working days per year, running from 1 April to 31 March.
Normal working hours are 35 hours over 5 days. Hours may vary between 8 am and 8 pm, 7 days a week, to meet extended day service requirements.
