A fantastic opportunity has arisen for a Business Support Specialist who will support the Biologics Innovation Analytical R&D team at our Facility in Dunboyne.

The role will be located at our state of the art, single use, multi-product facility in Dunboyne Biologics Innovation Xceleration (BioNX) facility. By integrating leading-edge technology with a dynamic, activity-based workspace, the facility will support seamless connection and collaboration within and across teams and functions. BioNX, will provide Biologics Drug Substance manufacturing for Clinical Supply, Registration & Commercial Launch.

The Business Support role will work closely with AR&D and other functions directly supporting the day-to-day operations. The Business Support role willalso have close collaborations with the other Business Support Specialists within Dunboyne.

This is an ideal position for a Business Support Specialist who works well under pressure, is a self-starter, is passionate about delivering strategic value and wants to work in a dynamic, fast-moving, collaborative environment.

Bring energy, knowledge, innovation to carry out the following:

- Visitor & New Hire Co-ordination: Point of contact among Senior Management, Site Leadership Team and other external partners to organise and coordinate site visits & large events/townhalls: support agenda planning, meeting logistics, safety PPE, security, catering, transfers etc in support of various forums. Receive external visitors and ensure they are properly escorted at all times. Co-ordinate external training (offsite), internal training with vendors (onsite). Perform supporting activities for new hire onboarding in partnership with hiring manager(s).
- Manage executive's calendar and conserve executive's time by using discretion in setting up and accepting appointments; gather pre-reads and background information when appropriate.
- Partner with the leadership team to establish Standard Calendar Meetings for AR&D.
- Gather and organize meeting materials in advance.
- Reserve conference rooms and coordinate with appropriate departments for room-setups, audio-visual needs, security, catering, etc.
- Assist in agenda creation and provide meeting minutes where requested.
- Handle and route critical communications from key external and internal stakeholders.
- Identify & Implement key management tools/systems to ensure seamless flow of information between AR&D in BioNX, harmonise and support business administrators within the Analytical GMP organisation.
- Primary content owner/co-ordinator of relevant departmental SharePoint, which is a go to reference for all staff, inc org charts, useful information to support onboarding and stakeholders' communications.
- Help generate Internal communications and supporting mechanisms such as email distribution lists.
- Equipment ownership responsibilities as needed e.g. impairment
- Key Metrics management: using platforms such as Visual Factory, Power BI, Digital, Analytics
- Schedule and coordinate complex domestic and international travel; create detailed itineraries and adjust in real time as necessary.
- Manage expense reporting and purchasing. Assist with providing approval for resources, accounts, travel, invoices and escalate to management as needed.

What skills you will need:

In order to excel in this role, you will more than likely have:

- Degree level qualification or appropriate comparable qualification, plus 3-5 year relevant Business Support experience in pharma, biotech or another regulated industry
- Ability to work under pressure with little or no supervision to handle multiple tasks, as well as demonstrate accuracy and attention to detail.
- Ability to handle sensitive data with discretion and confidentiality.
- Organize, prioritize and coordinate multiple work activities with demonstrated ability to meet deadlines.
- Excellent communication skills with the ability to effectively interact with individuals at all levels of the organization.
- Forward-thinker, who actively seeks opportunities and proposes solutions.
- Proficiency in using Digital Platforms (Power Project, enterprise digital systems) and MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote)
