Service Office Warranty Assistant
(Agricultural Machinery & Tractor Dealership)
The Service Office Warranty Assistant will provide critical support to the Service Manager within a fast-paced agricultural machinery and tractor dealership. The role ensures the smooth flow of administrative tasks across the service department, supporting technicians, customers, suppliers, and internal management. This position plays a key part in maintaining the efficiency, profitability, and professional reputation of the service department.
Key Responsibilities
* Support the Service Manager with the daily running of a busy tractor and machinery service department.
* Handle incoming service calls, book jobs, and assist with scheduling workshop and on-farm service work.
* Create, process, and complete job cards, ensuring all labour, parts, and technician information is accurate.
* Manage the full warranty process for multiple suppliers, submitting claims with correct documentation and following them through to approval to ensure we recuperate full amount.
* Liaise with technicians to ensure timesheets, job card notes, and service reports are completed on time.
* Work closely with the parts department to ensure required components are ordered and available.
* Maintain organised service records, warranty logs, and machine histories. Provide cover for the Service Manager during meetings or holidays to ensure continuous communication and job scheduling.
* Assist with service reminders, customer updates, and general office duties as needed— especially during peak seasons such as spring and harvest.
The Candidate
* Strong administrative and organisational skills.
* Excellent communication and customer service abilities.
* Ability to multitask, prioritise workloads, and remain calm in a busy environment.
* Good IT skills with experience using office software (training on internal systems provided).
* Experience in an agri machinery dealership or similar industry (preferred but not essential). A positive attitude and willingness to support a hardworking team

Pay: €30,000.00-€40,000.00 per year
