The Firm

For over 65 years, RBK has provided accounting, audit, and taxation services to domestic and overseas businesses in Ireland. We have grown from a small regional practice to Ireland's leading independently branded Accountancy Firm, with offices in Dublin, Athlone, and Roscommon. In May 2025, RBK Chartered Accountants announced further expansion with the merger of two accountancy practices in Castlebar, Co. Mayo.

We currently have an exciting opportunity for a Receptionist/Administrator to support the administration of our two Castlebar offices.

The Role

This role is ideal for someone who is organized, approachable, and adaptable, with a passion for providing excellent front-of-house support. Reporting to the Partner in charge and Head of Administration, responsibilities will include:

* Manage reception phone (Zoom), screening and forwarding calls.
* Welcome visitors and clients in a friendly and professional manner.
* Maintain a tidy and welcoming reception area.
* Book meeting rooms and organize catering.
* Use DocuWare to scan in post-in and post-out.
* Coordinate office activities and operations to ensure efficiency and compliance with company policies, including document management, office procedures, health & safety, voicemail management, etc.
* Manage client correspondence (email, letters, post, packages).
* Perform administrative tasks such as data entry, filing, scanning, and photocopying, maintaining client confidentiality.
* Track and send reminders for statutory filing deadlines to both Castlebar offices.
* Assist teams and Partners during onsite/off-site meetings (catering, refreshments, meeting rooms, overnight bookings).
* Maintain office supplies, refreshments, and equipment.
* Handle additional administrative tasks as needed.
* Note: Currently, RBK maintains two office locations within Castlebar, but plans to consolidate into one within 6-12 months. The role will involve working across both locations until then, with days and locations discussed during the interview.
* Liaise with the Head of Administration to ensure consistent administrative processes across all offices.
* Coordinate with Facilities to ensure smooth office operations.
* Provide general administrative support to Partners and staff.

Key Requirements

* Previous experience in a reception/office environment is desired.
* Experience in a professional services environment is an advantage.
* Ability to collaborate effectively with co-workers, clients, and suppliers.
* Working knowledge of MS Office and Zoom.
* Confident, pleasant, and friendly communication skills, capable of multi-reporting environments.
* Team player, flexible, and reliable.
* Confidentiality is essential.
