The ideal candidate will be responsible for the overall management of the office, encompassing various areas including office coordination, facilities management, administrative support, and executive assistant duties.
Main Responsibilities:
* Reception Management: Welcoming and screening visitors, ensuring strict physical security policies are enforced.
* Supply Chain Management: Managing regular office supplies, including food, drinks, and stationery.
* Purchasing and Procurement: Collaborating with suppliers to manage order volumes, receive, and check incoming deliveries.
* Facilities Maintenance: Working with external contractors and suppliers to address office cleaning, repairs, and building maintenance needs.
* Administrative Support: Receiving quotations, raising purchase requests, and liaising with finance and global facilities teams.
* Expense Management: Managing office expense reports and receipts, including petty cash.
Requirements:
* A minimum of 3 years of experience in an administrative role.
* Experience working with office or facilities management, including supplier and contractor liaison.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and financial applications for managing expenses and purchase requests.
* Strong written and verbal communication skills.
* Attention to detail, organizational, and time management skills.
* Resourcefulness and flexibility in task execution.
