We are seeking an HR/Office Manager to work with our team at Southside Personnel, a Healthcare Agency. This role will be based between our Dun Laoghaire office and the Sandyford office, requiring a minimum of 1 day per week.
As this is a new role, there is flexibility for the successful candidate to shape the position and contribute to the company's growth. We seek a candidate who is passionate about our business, engaged with clients, and creatively driven to help us attract and retain carers in a competitive market.
Main Responsibilities:
1. Manage the administrative routines of a small busy office, including being the first point of contact for clients, carers, healthcare professionals, and visitors.
2. Create and update carer recruitment advertising, screen applications, schedule interviews, conduct reference checks, and create new carer files on our IT system.
3. Liaise with other offices to organise induction training for new carers and manage the recruitment process, including reference checking and Garda vetting.
4. Manage communication, recording, and submission of reports to third parties, such as HSE monthly activity reports.
5. Oversee the smooth running of the office, build strong relationships with contacts, advocate for carers, and ensure timely communication and issue resolution.
6. Manage office supplies, organise ordering of stationery and general supplies, and oversee general office filing, including creating client information packs, journals, and carer welcome packs.
7. Contribute to bi-weekly team planning meetings and support care coordinators with scheduling challenges.
8. Provide ad hoc support to the Operations Manager as needed.
Requirements:
* Previous experience in an Office Administration/Management role and residency in Dublin.
* Ability to prioritise, work independently, communicate confidently with diverse backgrounds, and pay excellent attention to detail.
* Strong IT skills and experience in recruitment or HR are desirable.
* An interest in the homecare industry is beneficial but not essential.
* Strong communication skills, a high level of interest in people, influencing and persuading abilities, and confidentiality are important.
