Office Administrator – Programme CoordinatorOur client, based in Cahir, Co. Tipperary, an organisation dedicated to providing QQI validated, quality assured education and training programmes to the agricultural sector are seeking an ambitious Office Administrator – Programme Coordinator to join their expanding team.The Role:The main purpose of this role is to provide administrative support for all aspects of the delivery of the Green Cert programme. This includes engagement with learners, tutors, facilities, accounts and QQI certification.Reporting to the Programme Manager, the successful candidate's responsibilities will include:Engage with learners and tutors on a regular basis.Liaise with tutors around content delivered in class and confirm upcoming classes/modulesSend messages and emails to learners through Compass, the student management systemRecord all learner engagements on CompassReschedule in-person practical daysPrepare and manage assignments and projects for learnersSchedule classes on MS Teams weeklyPost messages and assignments on MS Teams regularlyConfirm submission dates with programme teamPrepare and co-ordinate sign-in sheets for exams and practical daysLiaise with the exam co-ordinator to ensure smooth & efficient running of exams across all exam centresLiaise and update all stakeholders with attendance at exams & farm days as appropriatePost Exam / Farm days, follow up with learner nonattendanceProvide support to the accounts team by sending receipt, taking payments, allocating payments on SAGE, sending invoices and statementsInternal Validation of projects and examsPreparing results sheetsPreparing Internal Validation and External Authentication paperworkTracking results and learner progressPreparing sample paperwork for the External AuthenticationFiling paperwork after Internal Validation and External AuthenticationProvide cover for the administration team as requiredAssist with any other administrative tasks as required to ensure the smooth running of the office.Skills & Experience that we need:A qualification in administration or equivalent2 years post qualification experience working a busy office environmentExperience with MS Teams and MS Office essentialExperience in customer relations & experience with SAGE desirableAbility to build good interpersonal relationships with learners, tutors, and administration staffThe ability to multitask and prioritise effectivelyStrong organisational skills and attention to detailExcellent communication skills, both written and verbalStrong customer service skills with a professional and friendly demeanour.The Offer:The is a full-time permanent role with competitive salary of €32,000K-€33,500K per annum, depending on candidates' experience and qualifications.This role is based in the company's office in Cahir Co.
