Overview Of Role

The Theatre & Anaesthesia Team Lead will play a pivotal role in supporting the Cúram Electronic Health Record (EHR) implementation across UPMC Ireland. You will report to the EHR Clinical Stream Lead. This role leads the implementation of key inpatient clinical applications, including the Theatre, Theatre Materials Management, and the anaesthesia solution (yet to be confirmed). The Theatre & Anaesthesia Systems Team Lead acts as the application champion at the group level and ensures alignment of system functionality with surgeons, anaesthetists, theatre, recovery, and ancillary staff and their clinical workflow requirements. This role provides strategic and tactical leadership for the Theatre & Anaesthesia workstream, ensuring alignment with clinical operations, financial systems, and overall programme goals. The individual will act as a subject matter expert (SME) in Theatre & Anaesthesia functions to ensure a smooth, efficient, and sustainable transformation of Theatre & Anaesthesia and operational functions. This is an ideal opportunity for a clinical expert who understands the intersections of Theatre & Anaesthesia operations and health IT systems.


General Accountabilities


Primary Duties and Responsibilities:

You will be responsible for delivering the new Theatre & Anaesthesia workstream within UPMC Ireland. You will implement the programme within the project scope and governance, identify stakeholders, establish your project team, and collaborate with other clinical workstream leads as required. You will oversee workflows, end-user experience, provider-facing modules, milestone tracking, and workstream issues, risks, and benefits. You will lead decision-making processes to resolve issues impacting your workstream alongside the Clinical Stream Lead.


Team Leadership & Stakeholder Engagement

* Serve as the primary liaison to clinicians and supporting staff, ensuring system design meets clinical documentation and workflow needs.
* Lead engagement sessions, adoption planning, and go-live readiness efforts for Theatre & Anaesthesia.
* Recommend policy changes and process improvements to drive efficiencies and outcomes.
* Coordinate a cross-functional implementation team during transition.
* Facilitate meetings, track milestones, document decisions, and escalate risks.
* Act as liaison between Theatre & Anaesthesia and the EHR team.
* Support development of training materials and education for staff.
* Provide hands-on support during go-live and stabilization phases.
* Collaborate with training teams to ensure staff are trained on workflows within Meditech and related applications.
* Support planning and delivery of handover training for future BAU team members.
* Work with governance to support ongoing optimization and training needs.


Workflow & System Design

* Collaborate with clinical and technical teams to support clinical integrity across modules.
* Act as SME for clinician/provider functions in MEDITECH, including Theatres, Theatre MM, and Anaesthesia (to be confirmed).
* Design and validate workflows within MEDITECH Expanse.
* Review system functionality and ensure workflows translate into clinical and financial processes.
* Support integration of workflows with financial systems for integrity and compliance.


Implementation Support, Data Validation & Testing

* Oversee system configuration, data migration validation, and integration.
* Lead testing activities including UAT.
* Troubleshoot issues collaboratively with IT, finance, and clinical teams.
* Ensure modules are integrated with other clinical systems for seamless care.
* Validate reporting requirements for Theatre & Anaesthesia functions.
* Champion change management, addressing workflow impacts and documentation practices.
* Support standards development and engage clinical SMEs in design discussions.
* Identify hardware solutions for staff operational needs.


Documentation & Governance

* Maintain project documentation including maps, logs, registers, and lessons learned.
* Prepare materials for governance meetings.
* Define and track KPIs for readiness, adoption, and performance.
* Ensure compliance with statutory and regulatory requirements.


Required Qualifications & Experience

* Registered Nurse (RN) with postgraduate perioperative qualification.
* Minimum 3 years perioperative experience in an acute care setting.
* Minimum 2 years supporting or leading system implementations (preferably MEDITECH or similar).
* Familiarity with Theatre & Anaesthesia workflows, safety practices, and reporting standards.
* Strong project coordination, stakeholder engagement, and change management skills.
* Analytical, problem-solving, and interpersonal skills across clinical and operational teams.


Preferred Qualifications

* Hands-on experience with MEDITECH Expanse or equivalent EHR systems.
* Experience with digital documentation tools and surgical management systems.
* Knowledge of perioperative standards and safety frameworks.
* Understanding of clinical decision support, change management methodologies, and regulatory standards.
