The role involves preparation for a number of Governance forums which support the business as well as performing associated and general administrative tasks.Key Responsibilities:Preparation of Governance packs for key business forums including Depositary Acceptance Group; Ireland Management Forum; Luxembourg Management ForumEnsuring the packs are appropriate retained on site eg SharePoint for retrieval for auditors / regulatory reviewsMinute taking of the Governance meetingsProviding valuable support to senior executives and the team across a broad variety of administrative tasks including coordinating travel and expensesDiary management and coordinating calendars for a variety of meetingsHosting on-site meetings and providing guidance and support to visitors from the US and EuropeCoordinating internal administrative projects including any regulatory reviewCreating and updating presentations and decks for client meetings and board meetingsAttending and preparing for meetings with senior stakeholders, taking comprehensive minutesMaintaining contact lists and distribution groupsOrganising social events and initiativesOwnership of key regulatory items including signatory lists, registrar details, e-signWorking with the marketing team to update the monthly Depositary Deck with accurate informationTownhall meeting preparation including co-ordination of materialsAd hoc projects as requiredBasic QualificationsMinimum technical, trade or business school certificate, or equivalent work experienceThree to five years of administrative or operations experience is preferredCore Competencies:Effective communication and relationship building skillsOrganisational skills and attention to detailProfessional and helpful demeanorAbility to multitask in a dynamic changing environmentAbility to handle confidential information with discretionProficient in Microsoft Office - including Outlook, Teams & Co-Pilot, Word, Excel, PowerPoint, Visio and SharePoint Location expectations This role requires working from a U.S. Bank location three (3) or more days per week.AccessibilityWe are committed to providing an inclusive and accessible recruitment experience.
