Office Administrator – Programme Coordinator
Our client, based in Cahir, Co.
Tipperary, an organisation dedicated to providing QQI validated, quality assured education and training programmes to the agricultural sector are seeking an ambitious Office Administrator – Programme Coordinator to join their expanding team.
The Role:
The main purpose of this role is to provide administrative support for all aspects of the delivery of the Green Cert programme.
This includes engagement with learners, tutors, facilities, accounts and QQI certification.
Reporting to the Programme Manager, the successful candidate's responsibilities will include:
Engage with learners and tutors on a regular basis.
Liaise with tutors around content delivered in class and confirm upcoming classes/modules
Send messages and emails to learners through Compass, the student management system
Record all learner engagements on Compass
Reschedule in-person practical days
Prepare and manage assignments and projects for learners
Schedule classes on MS Teams weekly
Post messages and assignments on MS Teams regularly
Confirm submission dates with programme team
Prepare and co-ordinate sign-in sheets for exams and practical days
Liaise with the exam co-ordinator to ensure smooth & efficient running of exams across all exam centres
Liaise and update all stakeholders with attendance at exams & farm days as appropriate
Post Exam / Farm days, follow up with learner nonattendance
Provide support to the accounts team by sending receipt, taking payments, allocating payments on SAGE, sending invoices and statements
Internal Validation of projects and exams
Preparing results sheets
Preparing Internal Validation and External Authentication paperwork
Tracking results and learner progress
Preparing sample paperwork for the External Authentication
Filing paperwork after Internal Validation and External Authentication
Provide cover for the administration team as required
Assist with any other administrative tasks as required to ensure the smooth running of the office.
Skills & Experience that we need:
A qualification in administration or equivalent
2 years post qualification experience working a busy office environment
Experience with MS Teams and MS Office essential
Experience in customer relations & experience with SAGE desirable
Ability to build good interpersonal relationships with learners, tutors, and administration staff
The ability to multitask and prioritise effectively
Strong organisational skills and attention to detail
Excellent communication skills, both written and verbal
Strong customer service skills with a professional and friendly demeanour.
The Offer:
The is a full-time permanent role with competitive salary of €32,000K-€33,500K per annum, depending on candidates' experience and qualifications.
This role is based in the company's office in Cahir Co.
Tipperary so candidates must be based in the region or a short commute.
