Role Overview
This is a key position within a high-volume, fast-paced, multisite retail facilities management contract covering stores across the island of Ireland. This role is responsible for the effective planning, coordination, and scheduling of all PPM, reactive, remedial, and quoted works using the organisation’s CMMS platforms (e.g., PRIMMS / Maximo).
The ideal candidate will bring a strong technical maintenance background, experience in a similar planning/scheduling role, and the ability to work collaboratively with an experienced and supportive FM team.
Key Responsibilities
Planned Preventative Maintenance (PPM) Management
Regularly review PPM regimes and update schedules in line with asset requirements and contract needs.
Produce and maintain a 52‑week PPM calendar based on asset registers.
Generate, assign, issue, and track PPM work orders, ensuring accurate completion and documentation.
Verify weekly/monthly PPM closeouts to meet business milestones.
Reactive, Remedial & Quoted Works Scheduling
Plan, schedule, and issue all reactive and remedial tasks, ensuring SLA achievement and correct documentation.
Manage tasks through their full lifecycle from pending acceptance to complete, including reassignment, escalation, and data corrections.
Work closely with self‑delivery technicians and specialist contractors to ensure timely attendance and task closure.
Monitor and follow up on aged tasks, breached tasks, and priority (P1) events to drive performance.
Scheduling & Resource Coordination
Ensure all resources (internal technicians and subcontractors) are aligned with daily/weekly/monthly plans.
Communicate access requirements with retail stores, ensuring permits and arrangements are made ahead of planned works.
Liaise with suppliers and subcontractors for documentation and task progress.
System & Data Administration (CMMS)
Maintain accuracy of CMMS systems (PRIMMS/Maximo) ensuring asset data, work order details, and logs are correct and up to date.
Upload and electronically file certifications, reports, and statutory documentation.
Log and track IT/system tickets for any CMMS issues.
Performance, Reporting & Communication
Issue client and internal performance reports, supporting reporting and analytics leads where required.
Provide same‑day responses to operational queries and escalations.
Support management teams with audits, contractual reporting, and operational planning.
Team Contribution & Collaboration
Work closely with the wider FM team, contributing to training, cross‑skilling, and knowledge sharing.
Provide occasional support to the Service Desk when required.
Actively contribute to continuous improvement initiatives and workflow efficiency.
About you:
Essential
A recognised technical background in mechanical, electrical, or building services maintenance (trade or equivalent experience).
Previous experience in a maintenance planning/scheduling role within FM or a similar operational environment.
Strong IT proficiency, including CMMS systems (PRIMMS / Maximo), MS Office, Planner, etc.
Excellent communication skills—capable of coordinating technicians, subcontractors, and store contacts clearly and professionally.
Strong organisational and prioritisation skills suited to a fast‑paced, high‑volume workload.
Ability to interpret technical maintenance requirements and asset information.
Desirable
Experience with retail FM portfolios.
Knowledge of statutory compliance requirements within building maintenance.
Understanding of multisite operational challenges and dispatch coordination.
