The Role / Location
We are currently recruiting for an experienced Team Administrator to join one of our successful and fast-paced departments. Based on site at Clancy Quay, Islandbridge, Dublin 8, you will play a key role in supporting both the Facilities Manager and Maintenance Team.
This is role requires a proactive and highly organised individual to manage a wide range of administrative and operational duties. You'll be integral to the smooth running of day-to-day operations, helping ensure the delivery of high-quality service across the development
Key Responsibilities
Facilities Support Includes:
* Monitor daily calls and emails, ensuring timely logging and response
* Prioritise and resolve requests, ensuring all relevant information is captured
* Gather client feedback and escalate issues as needed
* Manage paperwork, including physical and digital filing
* Review check sheets, log actions, assign tasks, and track completion
* Carry out general office and admin duties as required
* Assist with scheduling and coordination of Planned Preventative Maintenance (PPM) visits
* Support the Facilities Manager with updating reports and schedules
* Coordinate contractor activities on-site and ensure successful task completion
* Induct all contractors and issue work permits
* Request and manage RAMS for all works
* Assist with small projects and help coordinate internal events
Maintenance Support Includes:
* Track and manage incoming maintenance requests
* Schedule and follow up on works
* Manage contractors and track work completion
* Handle key management processes
* Liaise with Savills Property Managers
* Assist with maintenance project management
* Carry out general and ad hoc duties as required
Lettings & Admin Support Includes:
* Produce leases and inventories
* Refresh and upload property adverts (e.g., Daft)
* Upload data to the Yardi system
* Conduct administrative audits
* Respond to tenant queries via email, phone, or in-person
* Coordinate tenant changeovers
* Set up and coordinate property viewings
* Liaise with on-site concierge
* Manage and maintain filing systems
* Issue maintenance instructions and track follow-up
* Administer amenity space bookings and usage
* Perform general administrative support duties
Skills, Knowledge And Experience
* Previous Experience within an Helpdesk/Administration role is desirable
* IT literate – working knowledge of Microsoft Office & Building Link
* Team oriented pro-active, open minded team player
* Highly organised with excellent attention to detail
* Strong Interpersonal and excellent written and verbal communication skills
* Excellent customer service skills whilst working under time pressure
* Adaptable – must possess the ability to work on own initiative
* Always demonstrate commitment and flexibility
