This position supports the finance team in maintaining compliance with financial policies, assisting in budget monitoring, and providing accurate financial data to aid in decision-making. The Accounts Administrator's diligence and attention to detail help ensure the organisation's financial health and contribute to its overall operational efficiency.Key ResponsibilitiesAccounts Payable & ReceivableManage the accounts payable and accounts/rent receivable function Process invoices, ensuring timely and accurate payments to suppliers.Manage invoices, process payments, and follow up on outstanding balances.Reconcile accounts payable and accounts/rent receivable statements, resolving discrepancies promptly.Deal with any supplier/customer/client queries Financial Record KeepingMaintain accurate and up-to-date financial records, including data entry into accounting, rent and related systems.Assist in preparing monthly, quarterly, and annual financial reports.Assist in the conduct regular audits of transactions to ensure accuracy and compliance with financial policies.Bank ReconciliationPerform regular bank reconciliations to verify account balances.Investigate and resolve discrepancies between bank statements and company records.Payroll AdministrationPrepare and process weekly wages, ensuring accuracy of payments.Deal with any queries in relation to weekly payrollBudget SupportAssist and Support the Finance Team assisting with the monthly preparation of management accountsAssist and Support budget preparation and monitoring by tracking expenses and assisting with budget analysis.Provide relevant financial data to support decision-making.General Administrative DutiesRespond to enquiries from suppliers, customers, clients and internal teams regarding accounts-related matters.Prepare and process all employee expenses claims Issue PO numbers Liaise with external agencies as required Maintain organised and secure filing systems for financial documentation.Provide general administrative support to the finance department as needed.GeneralWork to Galway Simon Community values and ethos.Participate in appraisal process including attending training as required.Adhere to HR and Galway Simon Community policies and proceduresBe vigilant in relation to Health Safety and Welfare Risks in the workplace and bring concerns to the attention of the Line manager or Health and Safety representative.This job description is not intended to be an exhaustive list of responsibilities.RequirementsThird level degree in accountancy, commerce or minimum of 1-year relevant experience in a busy, fast-paced finance department.Familiarity with accounting, payroll and other related software applications Strong attention to detail and organisational skills.Proficiency in Microsoft Office Suite, particularly Excel.Excellent communication skills, both written and verbal.Ability to work independently and as part of a team.High ethical standards and integrity in handling sensitive financial information.Ability to meet deadlines and prioritise tasks effectively.Alignment with the organisation's values and mission to support people experiencing homelessness.Closing date midnight on 23/11/2025Galway Simon Community is an equal opportunities employer and welcomes applications from all sections of the community.
